Overview of Executive Assistant to the President and CEO of One Region

Duties and Responsibilities of Executive Assistant to the President and CEO of One Region
  • Manage the CEO’s integrated calendar, including meetings, travel, and civic events, encompassing responsibilities with One Region and Purdue University Northwest. 
  • Anticipate conflicts and proactively resolve scheduling challenges. 
  • Provide weekly briefing materials and daily “day-at-a-glance” summaries. 
  • Serve as gatekeeper and first point of contact, ensuring appropriate access to the CEO. 
  • Draft, review, and send emails, memoranda, and other correspondence on behalf of the CEO. 
  • Maintain systems for tracking outstanding correspondence, commitments, and follow-up actions. 
  • Screen and prioritize inbound requests, protecting the CEO’s time while maintaining positive stakeholder relationships. 
  • Coordinate complex travel arrangements, including air, hotel, and ground transportation. 
  • Manage RSVP lists and logistics for events, conferences, and site visits. 
  • Ensure timely preparation of itineraries and briefing materials. 
  • Maintain task lists, project trackers, and deadlines in coordination with team members. 
  • Monitor follow-up items and ensure closure on action items. 
  • Assist with vendor coordination and budget tracking where applicable. 
  • Handle administrative tasks such as expense tracking, contracts, and records management.  
  • Conduct occasional research and prepare supporting materials.

Education of Executive Assistant to the President and CEO of One Region
  • Bachelor’s degree required in business administration, communications, or related area.  
  • Equivalent combination of education and experience will be considered. 

Experience of Executive Assistant to the President and CEO of One Region
  • Minimum 2 years of experience in a senior or lead administrative support role. 
  • Experience in retail, hospitality, customer service, or related fast-paced environments welcomed as a transferable background.

  • Ability to exercise excellent judgment, discretion, and confidentiality in handling sensitive matters. 
  • Highly organized; able to manage multiple priorities, deadlines, and complex schedules in a fast-paced environment.
