 I. JOB OVERVIEW 
Job Description Summary:  | The George Washington University was founded in 1821 in response to a vision that the nation’s foremost founder spelled out in his last will and testament. He dreamed of a university that would educate the citizen leaders of the new nation he had done so much to create.

Today the university that bears his name is different in many ways from what George Washington could have imagined. He could not have imagined the sheer size of its enrollment, now 26,000 students, including women as well as men from all 50 states and more than 100 countries. Nor could he have envisioned a university with multiple campuses and 14 schools; with more than 120 departments and 95 centers and institutes; with a half-million-square foot science and engineering building; with a school of public health, located on a circle that bears his name; or with a museum housing a world-class collection of textiles and the history of the great capital city he had only begun to plan.

Reporting to the Director of Administration, the Executive Associate works in the President’s Office with the following responsibilities.

Main responsibilities include:
1. Strategic Calendar & Access Management

Proactive Scheduling: Provide extensive and effective management of calendars to ensure a clear purpose and strategic use of the executive’s time.

Gatekeeping: Independently evaluates requests and manages access to the executive. Actively monitors meeting times to ensure they adhere to the executive’s schedule.

Conflict Resolution: Resolve complex scheduling conflicts promptly and effectively.

2. Executive Operations & Communications

Document Preparation: Draft, review, and disseminate high-level executive communications, meeting agendas, memos, and presentations.

Liaison Duties: Serve as the primary administrative and operational contact, acting as a liaison between the office and internal/external stakeholders.

Correspondence: Manage incoming inquiries and correspondence, delegating tasks to appropriate individuals and following up to ensure timely completion.

3. Project & Meeting Management

Meeting Logistics: Oversee all aspects of meeting planning, including gathering data, researching issues, and preparing background materials/graphs for presentations. Manage event planning logistics, which may include vendor negotiations and contract execution.

Administrative Follow-up: Send out invites, reminders, and follow-up communications to ensure action items are addressed.

This role may serve as a backup to other team members or functions as operational needs require.
Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:  | Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 2 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications:   
Preferred Qualifications:  | Previous executive level scheduling experience preferred. Experience working in a fast pace environment preferred. Expertise in complex calendar management software and project management tools preferred. Ability to draft high-level correspondence and interact with internal and external stakeholders in a professional manner preferred. Demonstrated experience in proactive conflict resolution regarding scheduling and resource allocation preferred. Experience handling sensitive information with a high degree of discretion preferred.
