About the Job

The Finance Specialist plays a critical role in optimizing membership and financial operations, ensuring efficient systems, accurate data, and a seamless user experience. This role bridges marketing, membership, and finance by managing membership systems, resolving transaction-related issues, supporting financial reconciliations, and integrating operational processes with marketing initiatives. By leveraging technology, automation, and data insights, the coordinator enhances operational efficiency, improves customer satisfaction, and supports revenue growth. Additionally, this role collaborates cross-functionally to refine workflows, implement process improvements, and contribute to strategic initiatives that advance UMAA’s success.

General Financial Operations (50%)

  • Reconcile credit card merchant account payment gateway activity vs. on-line source transactions through batch processing.  Enter deposit information into the general ledger.
  • Reconcile Lockbox check and credit card activity through batch processing.  Enter deposit information into the general ledger.
  • Prepare financial summaries used for reconciling the bank statement.
  • Manage accounts receivable and accounts payable processes, ensuring compliance with financial policies.
  • Prepare monthly journal entries. 
  • Provide support with audit requests and tax filings.

Revenue Program Finance Operations (35%)

  • Manage the full lifecycle of membership transactions, from processing payments to resolving issues, ensuring an efficient, accurate, and positive member experience. Maintain transaction records and provide audit support for member revenues.
  • Oversee and optimize membership systems and platforms, ensuring they support seamless transactions, recurring revenue models, and customer expectations.
  • Monitor and analyze transaction data to identify workflow improvements, recommend system enhancements, and project revenue.
  • Provide direct, professional customer service to alumni regarding complex billing discrepancies and payment resolutions.
  • Serve as the primary resource on payment methods, subscription models, and revenue-driving system integrations, keeping pace with industry best practices.
  • Maintain membership revenue trackers and run routine team reports to assist leadership with planning.

Systems Optimization & Process Innovation (10%)

  • Identify system inefficiencies and assist with testing or implementing new payment tools and workflows.
  • Support general revenue activity beyond membership, including partnerships and other income streams, by creating systems that accelerate payments and ease transactions.
  • Guide or contribute to cross-functional projects aimed at advancing UMAA’s strategic priorities.

Non‐Essential Functions: (5%)
  • Other duties as assigned.
  • Provide support at major UMAA events.

Qualifications

Minimum Qualifications: 

  • BA/BS degree , or a combination of related education and full-time work experience to equal at least four years.
  • Advanced skills in spreadsheets (MS Excel, Google sheets) including pivot tables, complex formulas and data analysis
  • Detail oriented and able to enter data accurately and efficiently
  • Strong organizational skills. Able to prioritize tasks effectively and meet accounting and compliance deadlines

Preferred Qualifications: 
  • Bachelor’s degree in Accounting or Finance; coursework in accounting principles.
