Financial Assistant 1 or 2 Full Description

JOB SUMMARY
The UConn-URI Navy STEM Coalition within the National Institute for Undersea Vehicle Technology (NIUVT) at the University of Connecticut seeks qualified applicants for a Financial Assistant 1 or 2 position within the College of Engineering. The UConn-URI Navy STEM Coalition seeks to establish a long-term STEM pipeline program for naval-related careers in Southeast New England. The program engages STEM talent K-12 through graduate school in innovative naval-focused activities and hands-on projects through participation from the regional Navy community to provide early and frequent interaction and ultimately, retention of students from this community. Working under the direction of the ANCHOR leadership, the successful candidate will provide administrative support, and significant program support to help administer the newly funded Advancing Naval Careers Through Higher Education Outreach and Research (ANCHOR) in Science, Technology, Engineering, and Mathematics (STEM) awarded to the University of Connecticut.
DUTIES AND RESPONSIBILITIES
  • Provides financial, administrative, and program support for assigned areas.
  • Monitors, tracks, and maintains accurate financial records.
  • Records encumbrances and expenditures and processes all necessary paperwork, following up to resolve problems as they arise.
  • Prepares payroll to meet the needs of NIUVT and University deadlines.
  • Coordinates and prepares visa applications and renewals.
  • Performs related work as required including but not limited to special projects as required in support of NIUVT operations, faculty, students, and staff.
  • Performs related tasks as requested or required.
Additional Duties and Responsibilities for Financial Assistant 2 
  • Assists in developing and managing ANCHOR’s operating budget and track spending to the approved budget.
  • Assists with post-award activities by preparing documents as required to meet deadlines. 
  • Verifies and performs financial transactions, such as deposits, journal entries, cost transfers, and payroll adjustments. 
  • Ensures effort reporting commitments are met on the ANCHOR project. 
MINIMUM QUALIFICATIONS 
  • Associate’s degree in a related field and 2-3 years of related experience. An equivalent combination of education and/or experience may be substituted for the degree and years requirement. 
  • Experience with financial practices and procedures, such as tracking expenditures and maintaining financial records. 
  • Experience using Microsoft applications, including Excel. 
  • Demonstrated effective and clear written communication skills.
  • Experience working both independently and in a team setting, while regularly exercising sound judgment. 
  • Demonstrated interpersonal skills with the ability to establish positive working relationships with co-workers. 
  • Demonstrated organizational skills and attention to detail. 
  • Experience with enterprise systems such as Kuali Financial System (KFS), WebFOCUS, HuskyBuy, PageUp, Concur, Core-CT, or similar online enterprise financial systems. 
Additional Minimum Qualifications for Financial Assistant 2 
  • Bachelor's degree in a related field and 1-2 years of related experience. An equivalent combination of education and/or experience may be substituted for the degree and years requirement. 
  • Experience performing or assisting with budget preparation, fiscal control methods, and payroll systems. 
  • Experience working in a fast-paced, complex, multi-faceted office environment. 
PREFERRED QUALIFICATIONS 
  • Experience working in a higher education or a grant-funded organization or program. 
  • Experience working with visa applications and renewals. 
  • Payroll experience. 
Additional Preferred Qualifications for Financial Assistant 2  
  • Experience with the sponsored program proposal process. 
  • Demonstrated ability to expertly manage time and deadlines, and juggle multiple competing priorities.
