Pay Range Information
Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate’s qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.
Position Summary Information
Job Description Summary
Under the direction of the Dean and Director of Dodge Admission, the Graduate Programs Specialist participates in the entire graduate admissions process for Dodge College of Film and Media Arts (DCFMA). This position will support the implementation of recruitment strategies and participate in graduate recruitment events for Dodge College graduate programs. This includes recruitment of domestic and international students. Other duties include application updates, coordinating processes for reading and reviewing applications, maintaining and analyzing reports, communicating regularly with our graduate admission office, and updating program and admission information on the website. Perform other duties as assigned.
Responsibilities
Admission and Recruitment Duties:
  • Work with the Director of Dodge College Admission in the development and implementation of recruitment plans and strategies that align with the Dean’s goals.
  • Recommend new approaches to attracting the most competitive candidates to the university and advise on the recruitment of talented students
  • Manage the application review process: allocate files to faculty, track reviewers’ progress, provide training and troubleshooting assistance as needed.
  • Assist with the review of applicant files.
  • Manage applicant interview process for all graduate programs including faculty interview schedules and tours.
  • •Collect and analyze recruitment and admissions data and prepare reports for it to the Director of Admission and Deans.
  • Oversee and coordinate the admitted student outreach and communications efforts including graduate visit opportunities.
  • Coordinate and participate in off-campus recruiting events (domestic and international) including college fairs, workshops, panels, and assist with creating travel budgets.
  • Schedule meetings with prospective students to provide information regarding our programs, application process and procedures.
  • Research and evaluate the demographic and academic characteristics of similar graduate film programs, to support marketing and recruitment outreach initiatives.
  • Collaborate with Director of Dodge College Admission and Director of Communications to create a strategic marketing plan to achieve recruitment goals.
  • Serve as a liaison to Graduate Admissions Office including attending monthly meetings and weekly communication. 
  • Manage special projects assigned by Director of Admission.


Admission Office and Daily Operations:
  • Manage all email, phone calls, and walk-ins regarding graduate admission.
  • Supervise graduate admission student staff including recruiting, hiring, training, and scheduling
  • Oversee the graduate team’s proper usage of communications software “Unibuddy.
  • Coordinate and schedule in-person and virtual graduate tours for Dodge College.
  • Assist with the daily opening and closing duties for Dodge Admission Center.
  • Support the team in all Dodge College recruitment events, including undergraduate admission events.
  • As needed, assist with the application review process for undergraduate admission including reviewing files and conducting interviews.


Required Qualifications

  • A minimum of 3-5 years’ experience in admissions, recruitment, or related field.
  • Excellent written & oral communications skills.
  • Strong organizational skills to coordinate work from various departments and ensure accuracy and completeness.
  • Proven ability to handle simultaneous deadlines, communicate effectively and maintain a positive composure
  • Strong interpersonal skills to interact with diverse constituents at all levels.
  • Strong technical skills to learn and use Chapman’s enterprise applications
  • Skilled in analyzing, interpreting, and reporting data, with the ability to solve problems and provide accurate information and recommendations
  • Interest in higher education admissions process
  • Skills in record maintenance.
  • Strong knowledge of Microsoft Office and web applications.
  • Proven ability to multi-task in a fast-paced environment.
  • Ability to show self-initiative.
  • Ability to work as a team member.
  • Ability to demonstrate tact and diplomacy, maintain confidentiality and follow FERPA regulations
Desired Qualifications
  • Bachelor’s degree or equivalent combination of education and experience
  • Experience in developing and implementing recruitment plans
  • Basic knowledge of Dodge College and Admission policies and eligibility requirements.
  • Experience in providing administrative support in a professional office.
  • Knowledge of film and media arts
