Job Description:
Position Salary Range:
  • $57,000 - $62,000 per year;DOE
Essential Duties:
Admissions Processing and Oversight 
  • Complete admission processing actions, including but not limited to, decision support, outreach to applicants, communicating with faculty, confirmation of completed packets, and distribution of welcome packet to newly admitted students.
  • Monitor the graduate admissions and application process for CISA Graduate Programs, ensuring applicants progress through the pipeline in alignment with appropriate deadlines

Graduate Advising
  • Review, update, and maintain graduate student records using internal and external systems (iPOS, Graduate Application Review System, PeopleSoft, Microsoft Office, Google Sheets, Salesforce, etc.); compile and provide data as requested and follow up with students as needed.
  • Engage with students and faculty to complete petitions, quick enrolls, overrides, overloads and other ad hoc curricular activities.
  • Provide support to program manager responsible for scholarship programs, including communications with students and other institutional stakeholders.
  • Respond to inquiries about CISA Graduate Programs and deliver advising and informational meetings for prospective and current students, including individual appointments and group sessions, in person and through phone, email, and Zoom.
  • Advise graduate students within CISA Graduate Programs to support academic success, including interpreting policies, assisting with course planning, degree progress, graduation requirements, academic concerns, and iPOS submission. 
  • Serve as liaison to Graduate College to support graduate student activities and milestones as appropriate to the student's program (doctoral, master's, certificate).

Communications and Events
  • Manage recruitment-related activities for CISA Graduate Programs, by tracking prospective students, coordinating participation in ASU Personalized Graduate Admissions (PGA) and Graduate Earned Admission (GEA) initiatives, and working with faculty and college partners to support enrollment goals.
  • Plan and facilitate orientation sessions for newly admitted students to support onboarding and a successful transition into graduate study.
  • In collaboration with faculty leadership, review, distribute, and maintain student-facing program communications and resources, ensuring accuracy and consistency.     
  • Coordinate targeted communication campaigns to improve student engagement, reinforce key deadlines, and connect students to appropriate resources and support services.
  • Attend and participate in Faculty meetings, as assigned.

Enrollment Reporting and Retention
  • Monitor enrollment trends and provide input related to course planning and scheduling.   
  • Prepare periodic reports and documentation related to program activities, progress, status, and other required reporting for leadership or stakeholders as needed.
  • Serve as a liaison and maintain effective working relationships with students, faculty, staff, and community partners to support program operations and objectives.
  • Support graduate student retention through proactive outreach, early interventions, and consistent follow-up with students who may be at risk academically or administratively.
  • Collaborate with faculty, Program Directors, and campus partners to develop and implement retention initiatives that promote timely degree completion and student success.

Desired Qualifications:
  • Experience in academic advising or recruitment in higher education, supporting students in-person and/or online degree programs.
  • Demonstrated knowledge of evidence-based academic advising principles, recruitment practices, and student success strategies.
  • Demonstrated ability to produce accurate work with exceptional attention to detail.
  • Evidence of strong written, verbal, and interpersonal communication skills.
  • Proficiency with systems and tools such as PeopleSoft, Salesforce, Microsoft Office, dashboards/analytics platforms and Google Docs. Experience using CRM or admissions systems (e.g., Salesforce, Slate, PeopleSoft) to support recruitment workflows and communications.
  • Ability to identify complex issues, escalate concerns appropriately, and proactively communicate potential risks to leadership.
  • Experience coordinating activities, setting priorities, and meeting deadlines in a high-volume work environment.
  • Understanding of graduate admissions processes and graduate student decision-making factors. Experience supporting graduate student recruitment pipelines, including prospect tracking, outreach, and yield-related activities.
  • Experience advising and supporting graduate students in an academic setting. Demonstrated knowledge of evidence-based academic advising strategies, practices, and student support approaches.
  • Ability to assess student needs and respond to general requests for information and assistance with professionalism and accuracy. Demonstrated judgment in managing urgent or conflicting requests and escalating appropriately when needed.
  • Strong problem-solving skills and the ability to navigate complex processes and systems effectively. Experience using a collaborative, student-centered approach to develop solutions and resolve student concerns.
  • Ability to guide students through curriculum requirements, connect them to appropriate resources, and support their academic goals while adhering to university and college guidelines.
  • Commitment to continuous learning and maintaining up-to-date knowledge of key university and college resources to enhance recruitment and advising effectiveness.

Working Environment:
  • Days and Schedule: Monday - Friday 8:00 a.m. - 5:00 p.m., evenings and weekends may occasionally be required.
  • Ability to clearly communicate verbally, read, write, see and hear to perform essential functions; Regular use of standard office equipment including, but not limited to computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, and associated computer/technology peripherals.
  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%).
  • Frequent bending, reaching, lifting, pushing, pulling, and carrying objects up to 25 pounds (5%).
  • Occasional meetings across ASU campuses and with external partners.
  • Hybrid work is an option for CISA employees. Hybrid arrangements allow employees to spend a minimum of 60% of their regular workweek at their primary ASU work location. Dean or Provost level approval is required.
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
