HR Generalist Full Description

Pay Grade: 29E
Context of the Job:
Reporting to the Assistant Director/Team Lead of the HR Hub, the Human Resources Generalist is responsible for providing a customer service-focused response and attitude for any HR-related transactions. This role supports various HR functions, including onboarding, offboarding, compliance tracking, and payroll processes. The HR Generalist plays a key part in ensuring a smooth employee experience and accurate data management within the HR department. They will collaborate with team members to enhance HR processes and maintain compliance with organizational policies.

Major Responsibilities:
  • Provide interpretation and advice on human resources policies and procedures.
  • Ensure all HR related transactions are completed including but not limited to JED’s, Position Change webforms, Supervisor Updates, Pay Additional Assignments, Supplemental Pay webforms, etc.
  • Facilitate the onboarding process for employees, ensuring all necessary documentation and support is provided.
  • Coordinate onboarding activities for full-time employees, including orientation sessions, training programs, and documentation processing.
  • Assist with additional HR assignments and projects as required, contributing to team initiatives and continuous improvement efforts.
  • Complete FLSA requests and submits for appropriate approvals.
  • Assist with administering SEMU processes to maintain accurate employee records and compliance with organizational standards.
  • Point of contact for assigned units for payroll/personnel records questions. Investigates issues and provides resolutions to the responsible party.
  • Manage the Visa application process. In collaboration with CGPS, oversee complex and confidential Visa application processing and stay current on federal and Visa guidelines for other countries. Serve as advisor to PI/Sponsors and Foreign Nationals throughout the duration of the application and subsequently when they depart.
  • Manage Tier 1 TDX requests and initial level of recruitment support.
  • Identify and assist in resolving employee overpayment issues, coordinating with payroll to implement necessary corrections.
  • Process manual check requests as needed, ensuring adherence to company policies and accuracy in payroll transactions.
  • Implement and manage data changes within the HR system, ensuring accurate and up-to-date information for all employees.
  • Facilitate the offboarding process for faculty and staff, ensuring compliance with exit procedures and conduct exit interviews as necessary.
  • Build and maintain strong relationships with key stakeholders across the organization to ensure strategic business goals are met and that the HR Hub effectively supports their needs.
  • Serve as an integral part of the client-facing HR team by leading with influence, fostering strong relationships with stakeholders, and promoting HR services.
  • Support initiatives to promote knowledge sharing and continuous learning within the team.
  • Work with HR Hub team members to promote a culture of data accuracy and compliance.
  • Provide training and support to staff on data management practices and tools.
  • Stay current with best practices in data management and records retention, recommending enhancements to existing processes.
  • Participate in cross-functional projects aimed at improving data-related workflows and systems.
  • Perform other job-related duties as assigned.
 
Qualifications:
  • Bachelor’s degree and two years of related experience, with a focus on onboarding, payroll, or employee relations, or equivalent combination of education and experience. Degree in Human Resources, Business Administration, or a related field preferred.
  • Strong attention to detail in managing employee records and compliance tracking.
  • Ability to manage multiple HR tasks simultaneously and to be able to prioritize responsibilities effectively.
  • Excellent communication and interpersonal skills to interact with stakeholders at all levels.
  • Proficient in HRIS systems and Microsoft Office Suite.
  • Ability to analyze HR data and metrics to help improve HR processes.
  • Ability to identify issues and implement solutions efficiently.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
