Job Summary | The HRIS Absence Administrator is responsible for the configuration, support, and maintenance of the Oracle PeopleSoft Absence Management module within the organization’s Human Capital Management (HCM) system. This role combines functional HR expertise with technical system administration to ensure the accurate tracking and processing of all types of employee absences.
Essential Duties and Responsibilities |
System configuration: Set up and maintain the core components of the Absence Management module, including absence frameworks, absence calendars, eligibility groups, and calculation rules for different leave types (e.g., vacation, sick leave, jury duty, and others).
Compliance and policy management:Ensure all absence policies are configured correctly to comply with federal, state, and local regulations, such as the Family and Medical Leave Act (FMLA) and the Americans with Disabilities Act (ADA).
Integration management:Collaborate with technical teams to manage and test the integration of the Absence Management module with other PeopleSoft modules and external vendor systems (TCP).
Absence processing:Manage the end-to-end absence process, from employee and manager self-service requests to final calculation and integration with the PeopleSoft Payroll and Time & Labor modules.
Troubleshooting and support: Provide production support for all Absence Management activities by troubleshooting issues, resolving errors, and investigating problems with accruals, entitlement balances, and ad-hoc absence calendar processing. HRIS liaison for Payroll, Leave Management, and UT System SIS. R
eporting and analysis:Generate standard and ad-hoc reports and custom analytics dashboards to provide insights into absence trends, monitor employee leave balances, and support data driven decision-making.
Testing and upgrades:Develop and execute test plans for new features, system updates, and patch applications to ensure functionality and prevent issues during system upgrades.
Training and user support:Assist in developing training materials and provide guidance to end-users, including employees and managers on how to use the manager self-service and employee self-service features of the system.Other duties as assigned.
Note: The responsibilities of FMLA and ADA administration are handled by the Leave Management team in TCE. The HRIS Administrator will supply technical support for troubleshooting issues and provide the correct history needs of Leave Management.
Minimum Qualifications | Bachelor’s degree in Human Resources, Information Systems, or Business Administration. Three (3) years of functional experience with PeopleSoft HCM, specifically within Absence Management and related modules like Payroll and Time & Labor or a related field. OR
seven (7) years of an equivalent mix of education and relevant experience in a similar role.
Preferred Qualifications | Five (5) years of functional experience with PeopleSoft HCM, specifically within Absence Management and related modules like Payroll and Time & Labor or a related field Experience of PeopleSoft Absence Management configuration, including entitlements, takes, and approval workflows. Experience with PeopleSoft’s Fluid User Interface. In-depth understanding and experience of leave management processes and associated federal and state employment laws. Experience in developing and running queries (using tools like SQL or PeopleSoft Query) for reporting, testing, and troubleshooting.
Knowledge, Skills and Abilities | Excellent analytical, organizational, and communication skills to effectively collaborate with various stakeholders, gather requirements, and explain complex issues. Professional communication and interpersonal skills to collaborate with both technical and non-technical stakeholders. Exceptional attention to detail and organizational skills.
