The School of Earth and Space Exploration HR Specialist Sr. performs duties necessary for a variety of human resource actions such as recruitment, on-boarding/off-boarding, leaves management, international visa processes, volunteer and courtesy affiliate oversight. This position works closely with the Department HR Manager and HR team regarding all human resource functions and serves as backup for those roles for SESE Coordinators as necessary.

Essential Duties:

  • Courtesy affiliate process management and maintenance, including annual renewal process and additional network accesses if needed

  • Manage volunteer, minors in lab, and minor on campus requests and renewal processes, working closely with department safety compliance officers (AKA Facilities)

  • Advise and answer employee and supervisor questions regarding FMLA/parental leave process. Direct and assist employees as needed to complete ASU process

  • ACA compliance oversight and management which includes verifying employee hours and FTE totals and contacting employee to correct if necessary

  • Shared HR Team duty - Maintaining SESE employee related email listserv

  • Ensure the eligibility of all student hires (enrollment) per semester, handle graduation notices from student employment, and contact supervisors regarding apparent inactive students for termination on a monthly basis 

  • Physical personnel file maintenance and electronic personnel file cleanup and maintenance

  • Process competitive searches in Workday and Interfolio for various employee categories (faculty, ACPs. Postdocs, Staff, grad students, student workers)

  • Process waiver hires (staff, postdoc, ACP, faculty) as requested 

  • Assist processing student hires during peak times such as the grad renewal process, special projects, or as delegated

  • Process staff personnel action requests in Workday (FTE changes, title changes, salary changes, etc.)

  • Onboard and off-board employees, particularly staff, ensuring all hire or termination actions completed

  • Assist with the grad renewal and faculty renewal processes as needed

  • Facilitate and process annual faculty summer pay process, including summer FA/faculty teaching pay

  • Advise and direct employees and supervisors with Authorized Driver process to completion. 

  • Check Authorized Driver statuses as requested by employees and SESE HQ

  • Advise and direct students and sponsoring faculty through Authorized Driver process, including for class field trips, through completion

  • Advise and answer questions from supervisors and employees on HR business practices, company policies, and HR legal compliance,

  • Serve as backup Department Time Administrator to process payroll as needed especially during peak times

  • Work directly with various ASU central departments as needed (ex. ASU Payroll, ASU HR, SEO, ISSC, The College Dean's office, Insurance and Risk Management, etc.)

  • Assist HR team/manager with any other special projects, reports, and duties as assigned

  • Stay up to date on ASU policies and procedures, and relevant state and federal laws

Desired Qualifications:

  • Advanced knowledge of human resource principles, practices, regulations and standards

  • Knowledge of ASU policies and procedures

  • Experience with ASU systems such as Workday, Interfolio, and Analytics.

  • Excellent verbal and written communication skills.

  • Ability to work collaboratively, efficiently and effectively with faculty and staff.

  • Demonstrated knowledge of the principles of exemplary customer services through actively listening, acknowledging, and responding to inquiries timely.

  • Ability to work effectively in an environment subject to changing priorities, sensitive/confidential
    information and short deadlines.

Working Environment:

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%).

  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds (5%).

  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.

  • Ability to clearly communicate verbally, read, write, see and hear to perform essential functions.

  • Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
