Position Title:  Instructional Coordinator, Online Education Campus

Position Status:  Non-exempt

Work Hours: Mon–Fri. Ability to work occasional evenings and Saturdays; Secondary holidays may be scheduled.

Reports To: Dean/Associate Dean of Instruction

Location: Online Education Campus, Orchard Park, NY

This role is performed onsite in Orchard Park, NY.  A hybrid / remote schedule may become available with time in position and performance.

Position Summary:
The primary focus of this position is to support all functions and activities of the Online Instruction Department including Remote Initiatives, Design Department, and Office of Academic Affairs.

Essential Duties and Responsibilities:
  1. Accurately input, manage, and analyze high volumes of instructional data across academic sessions using Banner and related systems. Maintain real-time course schedules and faculty assignments for over 500 instructors, ensuring 100% data integrity and timeliness.
  2. Independently oversee scheduling, faculty data tracking, evaluation processing, and reporting. Manage and update instructional records across multiple academic sessions with minimal supervision, supporting the Instructional Management Team in meeting operational deadlines.
  3. Serve as a liaison for faculty, new hires, project managers, HR, and internal departments. Facilitate onboarding processes, gather documentation, and communicate essential onboarding information. Compile and analyze faculty and new hire survey data to support strategic improvements.
  4. Review, audit, and process confidential data including payroll, faculty credentials, financial records, and employment documentation. Ensure 100% compliance with institutional and audit standards.
  5. Coordinate new hire documentation and data tracking in collaboration with HR and PMs. Generate and maintain accurate new hire records, pay agreements, stipends, and exit documentation for separated employees.
  6. Prepare all faculty pay agreements and maintain the master payroll tracking spreadsheet. Ensure timely and accurate processing of all compensation-related data.
  7. Curate and update faculty documentation including credentials, transcripts, resumes, and emergency contact details. Execute weekly and session-based reports such as Seat Analysis, Course Hold List, Discussion Reports, Needs Grading, Grade Submission, and Chargeback Reports.
  8. Manage logistical aspects of departmental meetings and events, including scheduling, room reservations, catering, and travel accommodations.
  9. Prepare professional presentation materials and visual reports as requested by academic leadership and stakeholders.
  10. Actively engage in professional development opportunities annually to enhance skillsets. Provide backup support for the institutional ticketing system and troubleshoot as needed.

Salary: 
$50,000 per year ($24.04 per hour).

This position is eligible for overtime.

Qualifications:
  • Degree: Bachelor’s, Master's Preferred
  • Experience: Minimum of 2-3 years office experience (Experience in higher education a plus)
  • Computer Skills: Highly Proficient in Data Entry and Microsoft Office Products. Experience with Banner, or comparable higher education data systems.

  • Degree: Master’s Degree
  • Experience: Preferred higher education experience. 
 
Physical Demands and Work Environment:
Position requires standing or sitting in a stationary position as well as the occasional need to lift, carry, push, and/or move objects up to 10 pounds.

Position also requires the use of computer technology/equipment.
