Job description

POSITION SUMMARY
The IT Training and Adoption Specialist designs, coordinates, and delivers high-quality technology training programs that support onboarding, user productivity, and effective technology adoption across the firm. This role leads technology onboarding for new hires, delivers in-person and virtual training sessions, and develops clear, accessible training materials that promote confident and consistent use of core systems, including Microsoft 365, document management, and legal practice tools.
 
Reporting to the IT Service and Operations Manager, this role is focused exclusively on training and partners across the firm, including IT, administrative departments, practice groups, and leadership, to assess training needs, design learning paths, and drive technology adoption. In addition to training delivery, the IT Training and Adoption Specialist owns the organization and evolution of the Learning Management System (LMS), builds role-based learning paths, gathers requirements from stakeholders, and helps clarify and improve repeatable processes for how training is requested, designed, and delivered. The successful candidate brings strong interpersonal skills, technical aptitude, and instructional design judgment, with the ability to quickly learn new systems and translate them into effective, user-focused learning experiences that align with both user needs and evolving IT strategies while fostering a culture of learning and self-sufficiency.
Job requirements

QUALIFICATIONS 
  • Bachelor’s degree in Instructional Design, Education, Learning & Development, Information Systems, Communications, or a related field preferred. 
  • 3+ years of experience designing and delivering training or learning programs in a professional services environment (legal preferred). 
  • Demonstrated experience gathering requirements and collaborating with stakeholders to design structured learning solutions. 
  • Strong working knowledge of Microsoft 365 applications, including Outlook, Teams, SharePoint, and OneDrive. 
  • Familiarity with legal technology platforms such as iManage, Elite, and Citrix-based remote desktops preferred. 
  • Experience administering and developing content for an LMS platform. 
  • Experience designing training content for adult learners using a variety of tools (e.g., Camtasia, Snagit, Articulate, Microsoft Stream, or similar platforms). 
  • Strong technical aptitude and learning agility, with the ability to quickly understand new systems and workflows. 
  • Proven ability to communicate technical concepts clearly and simply to non-technical audiences. 
  • Excellent written, verbal, and interpersonal communication skills. 
  • Highly organized and self-motivated; comfortable working independently and managing multiple priorities. 
  • Experience in a professional services or legal environment preferred. 
  • Certifications such as Microsoft Office Specialist (MOS), MCT, or CompTIA CTT+ a plus. 

Physical Requirements/Environment:        
  • Hybrid schedule, expected to be on site, in office 3 days/week
  • Sit/stand for extended periods of time
  • Extensive computer work (6-8 hours daily)
  • Lift/push/pull at least 25 lbs. in the form of boxes or other materials
  • Interact with others regularly in a collegial manner
  • Noise and other distractions may be present in the workplace

Job responsibilities
KEY RESPONSIBILITIES 
Training Delivery & Onboarding 
  • Lead and coordinate technology onboarding for all new employees and deliver in-person and virtual training on firm-supported systems, including Microsoft 365, document management, and legal practice tools. 
  • Provide training and support during system implementations, upgrades, and rollouts, and serve as a trusted resource for effective system usage and best practices. 
  • Travel to satellite offices as needed to support training initiatives and perform other related duties as assigned. 
  • Provides scheduled office hours and targeted floor-walking during major rollouts to accelerate adoption and capture feedback for continuous improvement. 
 
Learning Design & Strategy 
  • Partners with IT project leads and business stakeholders to intake requests, define learning objectives, and build rollout training plans (audiences, timeline, deliverables, and communications). Gather and document requirements and translate user and business needs into structured learning paths, curricula, and appropriate training approaches. 
  • Collaborate with other departments to plan and coordinate training related to departmental initiatives and events, providing guidance on delivery approach and learner experience. 
  • Defines and reports on training effectiveness metrics (completion, attendance, learner feedback, and adoption indicators) and adjusts content accordingly.

Learning Management System (LMS) Administration
  • Own and administer the Learning Management System (LMS), including content organization, role-based learning paths and progress tracking. 
  • Create and maintain clear, accessible training materials including reference guides and recorded content. 
  • Use LMS data, adoption trends, and learner feedback to identify learning gaps and inform updates to content and learning paths. 
  • Stay current on instructional design, learning technology, and training delivery trends.
