Overview: 
The salary range for this position is $24.00 - $27.71 per hour depending upon qualifications and is non-negotiable.

This position is scheduled to close on June 12, 2025 at 4:00pm (PST). 
  
KPBS serves the greater San Diego community with informative, cultural, entertaining and educational television, radio, and web programming.  KPBS TV/FM is the public television and radio stations for San Diego.  Licensed to San Diego State University, KPBS supports and furthers the university’s educational and community service mission by informing, enlightening and empowering its audience.  It does so not only by presenting national and locally produced programming of value to its San Diego audience, but also by producing programming about San Diego and its people for distribution nationwide.

The KPBS Corporate Development Department is responsible for securing support from corporations, individual businesses and government agencies. That support is recognized in the form of underwriting or credits in our local, regional and national television and radio programming. Additionally, the Corporate Development Department is responsible for generating revenue through support of the KPBS.org website.

 Responsibilities:
The Corporate Development Sales Administrator works under the general direction of the Corporate Development Manager to provide the team with accounting, underwriting and operational support for the department's day-to-day
activities. This includes assisting with processing underwriting agreements; delivery of media buys, revenue tracking and reconciliation, billing and collections, reporting and copy approval.

Working alongside many departments, this position utilizes software programs and technology such as the CRM (Sage ACT) and the TV and radio traffic systems (Wide Orbit & Protrack) to support the sales process.

Corporate Development Administrative Support 50%
  • Prioritize, arrange and update Corporate Development Manager and Corporate Development department appointment calendars, and assist with calendaring appointments and meetings.
  • Assist with maintaining the department’s expense budget by monitoring expenses and coordinating budget transfers, expenses, reimbursements and mileage.
  • Help prepare agendas, presentations, and reports for meetings.
  • Maintain and organize electronic and physical files. 
  • Provide information and handle inquiries as the primary point of contact for internal and external stakeholders.
  • Draft and proofread correspondence, memos, and other documents on behalf of the Corporate Development Manager.
  • Assist in the planning and execution of special events and conferences related to Corporate Development.
  • Conduct research and provide analysis on various topics to support decision-making.
  • Collaborate with team members to ensure project milestones are met.
  • Handle and maintain confidential information and data, with discretion and professionalism.
 
Underwriting Support 30%
  • Create, review and process all corporate development underwriting agreements, FM contracts, TV contracts, and Digital Media contracts.
  • Review and execute in-kind contracts for FM, TV and Digital platforms for all departments station-wide.   
  • Coordinate copy approval; produce traffic instructions, provide proof of performance and post analysis, facilitate preemptions, copy and flight changes. 
  • Interface with the sales representatives to execute campaigns from start to finish.
  • Assist National Public Media (NPM) in the underwriting sales process in creating contracts and agreements,  processing and obtaining copy approval, and presenting final order to the Traffic department.

Data/System Tracking & Maintenance 15%
  • Create, maintain, and track revenue reports and projections.
  • Assist with gathering data related to projected, actual and potential underwriting revenue.
  • Provide regular progress and activity reports to account executives and related departments, on current revenue production.
  • Provide summary reports on individual and department revenue goals.
  • Maintain and oversee the client database and accounts (i.e ACT)
  • Create and revise all department templates and design layouts within the database as well as in Microsoft word. 
  • Generate weekly, quarterly and annual reports.
  • Enter and track all internal contracts and orders (underwriting agreements, radio, TV web and on-air contracts) 
  • Work closely with various departments and outside vendors to maintain and renew vendor contracts and agreements.

Knowledge and Abilities
  • Demonstrated communication skills, both oral and in writing. 
  • Ability to interpret and apply policies and procedures independently, and use judgment and

  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests.

  • Ability to learn and utilize office support technology systems and office software packages
  • Demonstrated ability to use office software packages, technology, and systems including Microsoft Office: Word, Excel, and PowerPoint; Knowledge of Sage ACT or other Sales CRM software.

  • Ability to be well organized and manage multiple priorities and ongoing projects.
  • Demonstrated excellence in customer service skills (both on the telephone, correspondence, and in person)

Minimum Education
  • High school diploma
Minimum Experience
  • Six years of progressively responsible experience in an office or administrative environment

Preferred Qualifications and Special Skills
  • Bachelor's degree or equivalent
  • Experience with project or office management in a sales, fundraising or marketing environment.
  • Experience with research software tools provided by Nielsen/Scarborough, Nielsen Audio, Strata, Marketron.
  • Knowledge of public broadcasting.
  • Experience with learning new software updates and the ability to train co-workers on software products.
