Description of Work | This position will assist in the oversight of federal grant funding, maintain contact with sponsors to facilitate follow through of proposals and awards, changes/corrections to award documents, support research initiatives as appropriate. Manage MATC grant deliverables associated with reporting and data. Manage schedule, RiP and TRiD records, website project pages. Monitor, edit, and finalize reports. Manage MATC outreach programs, quarterly reports, etc.
Communicate with students and faculty at MATC partner universities. Coordinate with the MATC Director to plan conferences, meetings, webinars, and other events held in relation to research activities in MATC.
Responsible for fundamental pre and post-award cost accounting for MATC and financial management support of the research grants and contracts process for the center. Monitor and evaluate grant expenditures to ensure accuracy relative to budget; allowability and funding restrictions. Analyze future encumbrances. Prepare, analyze and distribute monthly financial and statistical reports. Handle research proposal submitted to MATC. Coordinate and complete purchasing, financial, inventory, personnel, and payroll transactions and maintain records in these areas.
Monitors federal, state, and university compliance issues such as responsible conduct of research, conflict of interest, export controls, etc. Compile various reports and data sets for submission to sponsors, University entities and collaborating institutions. Provide oversight of documentation for payroll, time entry, reconciliation of accounts payable/receivable, and procurement of goods and services. Qualitative review of center transactions, to include reviewing all journal entries and bi-weekly time entries and reconciling p-cards. Manages budget and performs data mining and analysis of spending.
Responsible for oversight of personnel documentation administration, preparing personnel actions forms and letters for faculty, staff, and students. Serve as administrative point of contact for all aspects of faculty, staff, and student position agreements and employment documentation. The position will be responsible for various duties associated with the MATC outreach programs including the MATC STEM Academy, the MATC Roads, Rails, and Racecars Program, the MATC Scholars Program and the MATC Intern Program. These include planning of the events, hiring of teachers and students that help with programs, contract execution, and other duties as assigned by the MATC Director.

Minimum Required Qualifications | Bachelor’s degree in accounting, business administration, research administration or closely related field and four years’ professional experience with cost accounting, grants/contracts, general accounting or financial reporting experience required; equivalent education/experience considered. Evidence of strong written and oral communication. Familiarity with external funding/grants. Ability to multi-task with strong attention to detail. Understanding of large integrated financial management system and skilled with PC-based database software programs.
Preferred Qualifications | Master’s degree in business administration, accounting or research administration or closely related field. Experience providing coordination and administrative leadership to agencies with competitive funding on large-scale interdisciplinary, multi-institutional research projects.
