The National Academic Records Training Specialist is a vital role that provides training and operational support to Arizona College of Nursing. This position plays a critical role in ensuring efficient onboarding, training, and support for the Academic Records team. The person is action-oriented and focused on delivering high-quality support to enhance the overall effectiveness of the College.
 
Training & Development Leadership
  • Design, develop, and implement comprehensive onboarding and ongoing training programs for Academic Records Managers and Coordinators.
  • Develop and maintain standardized training materials (guides, SOPs, job aids, videos, and e-learning modules) to ensure consistency across campuses.
  • Evaluate and continuously improve training programs based on feedback, performance data, and evolving organizational needs.
  • Incorporate adult learning principles and varied instructional methods (live training, self-paced learning, workshops).
Training Delivery & Facilitation
  • Facilitate engaging onboarding sessions, workshops, and advanced training for both new and tenured staff.
  • Lead regular training office hours to provide coaching, clarification, and real-time problem-solving support.
  • Deliver targeted training focused on:
    • Admissions processes
    • Program progression and student lifecycle
    • Student file maintenance and compliance
    • Policies, procedures, and regulatory standards
  • Provide individualized feedback on training assignments and track learner progress toward competency.
Performance Coaching & Support
  • Serve as a subject matter expert (SME) and provide guidance and support to Academic Records staff across campuses.
  • Support newly onboarded Academic Records Managers as they transition into their roles.
  • Identify performance gaps and provide targeted coaching.
  • Provide suggested development plans to the individuals supervisor to support their growth.
  • Partner with campus teams to troubleshoot operational challenges and reinforce best practices.
Training Operations & Program Management
  • Manage training logistics, including scheduling, resource access, and learning system administration.
  • Ensure all training materials are current, accessible, and aligned with organizational policies and compliance requirements.
  • Establish and monitor key training metrics (e.g., time to proficiency, error rates, audit outcomes).
Data, Reporting & Continuous Improvement
  • Analyze training and operational data to identify trends, risks, and opportunities for improvement.
  • Report national metrics related to enrollment, grades, compliance, and training effectiveness as requested.
  • Ensure accuracy and timeliness of reporting to support strategic decision-making.
  • Use data insights to refine training programs and improve operational outcomes.

Must have:
  • Associate degree or other equivalent skills and experience.
  • Two years of higher education registrar related experience or in a similar high-volume paperwork processing role.
  • Able to organize, prioritize, and multi-task in an extremely dynamic environment.
  • High level of attention to detail.
Nice to have:
  • Bachelor’s degree or equivalent skills and experience.
  • Presentation and/or training experience.
  • Previous experience in data collection and statistical analysis.
