Operations Coordinator Full Description

Overview:

Touro University Nevada (Touro) is seeking an Operations Coordinator to support the daily operations of the University and provide high level administrative support to the C-suite executives.  This position is a vital member of the Touro University Nevada (TUN) campus and will work with a wide range of people to support its mission to provide quality education programs in concert with the Judaic commitment to social justice, intellectual pursuit, and service to humanity.

 

The Operations Coordinator is responsible for assisting with daily business activities and works independently to provide high-level administrative support to the C-suite executives, with additional direction given by operational department leads. This is a dynamic position that includes operational project support and data-related tasks.

 

The position requires an individual to maintain confidentiality and project a professional image at all times. The candidate must have excellent communication and organizational skills and the ability to resolve problematic situations quickly with a good eye for detail.  The candidate shall demonstrate excellent customer service skills when dealing with the various campus constituencies.

Responsibilities:

  1. Assist executives with daily operational activities and monitor progress of departmental priorities.
  2. Provide a high level of administrative and confidential support to the executives to include arranging and coordinating meetings and appointments with multiple attendees.
  3. Independently execute ad hoc operational initiatives proposed by the executives that involve a variety of campus departments and key stakeholders.
  4. Collaborate with the events team to provide support as needed, including assisting with planning, logistics, and execution of university events in designated event spaces.
  5. Manage all aspects of the self-service campus Market, including but not limited to inventory management and procurement, monthly inventory reconciliation, restocking, and maintain master tracking to monitor sales, gross profit, and other related metrics.
  6. Supervise the Federal Work Study student assigned to the Market at TUN.
  7. Coordinate and manage project tasks as assigned to ensure project delivery within allotted budget and timeline.
  8. Work in a timely and efficient manner to arrange and book travel, create comprehensive itineraries, and prepare expense reports as needed.
  9. Track departmental expense budget and facilitate the procurement of items requested in accordance with University procedures and standards.
  10. Prepare and maintain clear and accurate documents and reports for reference purposes following office management principles and procedures for efficient business operations.
  11. Manage office supplies and the maintenance of office equipment.
  12. Assemble, prepare, and distribute meeting agendas, minutes, and supplemental materials (attend meetings as appropriate); maintain personal and departmental electronic files.
  13. Assist in drafting operational correspondence.
  14. Demonstrate ability to manage multiple tasks and meet deadlines despite interruptions.
  15. Exercise discretion and maintain confidentiality in carrying out all responsibilities.
  16. Take initiative in problem-solving and ensure matters requiring attention are handled appropriately; work effectively in stressful situations.
  17. Fulfill other duties as assigned. 

Qualifications:

Education:      

  • Bachelor’s degree or equivalent required. 

Experience:    

  • 2+ years of work experience
