Position Summary Information 
Primary Purpose  | The Operations Manager for Career Services plays a critical role in ensuring the efficient daily functioning of the office. This position serves as the backbone of the department, providing advanced administrative and strategic support, managing front-line services, overseeing office operations, acting as the primary system administrator for Handshake and managing on-campus employment initiatives. Exercises independent judgment in handling sensitive/confidential information for students, staff, faculty and employers.

Essential Functions  | Manage the administration and optimization of Handshake across three university campuses, managing all user accounts for students, staff, and alumni to ensure seamless access and a positive user experience. Subject matter expert and primary trainer for Handshake, developing and delivering training materials and support for faculty and staff to leverage the platform, increasing user adoption and platform utilization each year. Oversee campus-wide initiatives related to on-campus student employment, including job fairs, workshops and other activities that connect more than 20+ departments with around 1,100 students each semester. Monitor and ensure the accuracy of job postings, employer records, and events posted on Handshake. Manage scheduling for career advising appointments, workshops, and events through Handshake; serve as the first point of contact for student inquiries via phone, email, and in person, using independent judgment to provide accurate information, triage needs, and maintain confidentiality when handling sensitive student concerns. Supervise and train student staff; oversee daily administrative functions of the Career Services office, including phone coverage, email correspondence, office supply orders and inventory, and room reservations. Coordinate calendar scheduling, including meetings, employer visits, and career events/programs. Manage the ongoing operations of the Career Closet, including clothing intake, inventory tracking and analysis, seasonal audits to assess needs, etc. Create biannual reports for director and liaise with the advancement office to provide donor impact reports. Support assessment efforts by pulling and organizing data. Generate reports to track student engagement, appointment trends, and on-campus hiring trends. Analyze outcomes to present to the director to help make data-informed decisions and share with university leadership to support recruitment and retention efforts. Remain current on FERPA certification and maintain confidentiality of student information. Demonstrate a positive attitude and ability to work successfully with diverse populations with a commitment to promote and enhance diversity and inclusion. Other duties as assigned or requested.
This position serves as Campus Security Authority (CSA) as outlined by the Clery Act. CSAs have federally mandated responsibilities to report crimes that are reported them.

Minimum Qualifications  | Bachelor’s degree or equivalent combination of education and experience (i.e., Associate’s degree plus 3-5 years of full-time administrative, customer service or office coordination experience.) Intermediate level working experience of Microsoft Office Suite

Experience and sensitivity in working with people of diverse backgrounds and cultures. Demonstrated experience in advancing social justice, equity, and inclusion in a university setting. Ability to engage and integrate culturally responsive practices and knowledge in their work.

Valid driver’s license required. Incumbent must also be able to meet the University’s fleet rules and be eligible to drive for University business. The University and its insurance carrier reserves the right to exclude applicants based on their driving record.
Hiring Range  | $68,640 per year. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer.
