Work Schedule: This position is 20-25 hours per week; hours are flexible within HR's business hours (8:30 - 5:00 Monday-Friday).

About the Position:

The Organizational Development and Learning team is looking for an organized, detail oriented administrative assistant to support their team of learning and development professionals in the areas of customer service, logistics, scheduling support, and materials preparation. 

Responsibilities:

  • Coordinate schedules and logistics, including managing multiple calendars to schedule workshops, events, and meetings;
  • Manage multiple email inboxes and provide timely professional customer service to Mason faculty and staff across multiple departments, including referring complex issues to appropriate teammates as necessary;
  • Utilize a Learning Management System (LMS) to post trainings, manage registrations, update content, and run reports;
  • Provide technical support by serving as a point of contact for the Learning Management System;
  • Assist with setup for in-person and virtual workshops/events/meetings and serve as moderator for virtual learning opportunities;
  • Prepare training materials, including making copies, creating handouts, and typing notes;
  • Provide information on Mason policies in concise, easy-to-understand language;
  • Use Qualtrics to create, send, and synthesize learning evaluations and feedback; and
  • Other duties as assigned.

Required Qualifications:

  • General office experience, customer service, and proficiency with Microsoft Word, Excel, and PowerPoint;
  • Demonstrated experience with email management and email customer service;
  • Experience with virtual meeting platforms such as Microsoft Teams and Zoom, including moderating group sessions;
  • Effective interpersonal communication and customer service skills, including tact and diplomacy;
  • Ability to prioritize competing deadlines, follow through, and be flexible;
  • Ability to handle highly confidential and sensitive information with discretion and professionalism;
  • Ability to work independently with minimal supervision;
  • Ability to collaborate with diverse individuals with differing needs at all levels of the organization; and
  • Demonstrated organizational skills and attention to detail.

Preferred Qualifications:

  • Experience in a Human Resources setting;
  • Higher education or public workforce experience;
  • Experience with Learning Management Systems; and
  • Experience working with design tools such as Canva, Piktochart, and Adobe.
