Work Schedule: This full-time, exempt position works 40 hours per week and provides services primarily in person. Standard operational hours are 8:00 a.m. to 5:00 p.m., Monday through Friday, with potential for a modified summer schedule based on business needs. The role also includes travel throughout PVCC’s service region and occasional evening and weekend work to support outreach, recruitment, and college events.

Position Title: Outreach & Admissions Coach

Position Purpose: Outreach & Admissions Coaches provide targeted, data-informed outreach to recruit potential students across the City of Charlottesville and the counties of Albemarle, Buckingham, Fluvanna, Greene, Louisa, and Nelson. Coaches guide prospective students from their initial interest through enrollment, ensuring equitable access to postsecondary education and training. By delivering essential orientation and onboarding, coaches build a strong foundation that supports student success through the completion of a degree, certificate, or short-term training program. Outreach and recruitment efforts take place on campus, in the community, and virtually to meet students where they are.

Duties and Responsibilities:

Coaching (35%)
  • Cultivate relationships with prospective students by providing tailored orientation details and guidance on academic and career pathways.
  • Assist prospective students through registration for recruitment events, application submission, and pre-enrollment milestones.
  • Support new students during onboarding and execute seamless handoffs to academic advisors, financial aid counselors, and college support personnel.
  • Design and produce informational materials that help prospective students make timely, informed enrollment decisions.

Outreach (30%)
  • Represent PVCC at college fairs, community events, and information sessions across the region.
  • Serve as a primary liaison between PVCC and community organizations, educational institutions, employers, and homeschool cooperatives.
  • Partner directly with regional high schools to deliver outreach and facilitate a smooth transition to college.

Strategy & Collaboration (20%)
  • Help design and implement strategic recruitment plans that promote equitable access for historically marginalized and underserved populations.
  • Collaborate with internal teams to plan and execute onboarding activities and special events. Active participation in assigned department, division, college, and system committees or projects.

Technology & Operations (10%)
  • Leverage Customer Relationship Management ( CRM ) tools to manage prospective student communication, streamline onboarding, and track outreach effectiveness.

Professional Development & Support (5%)
  • Stay current on emerging trends, technologies, and best practices in college access and admissions.

Special Assignments

KSA's/Required Qualifications
  • Experience planning, coordinating, and carrying out outreach, recruitment, educational, or community-based activities or events.
  • Experience providing guidance, coaching, advising, customer service, or other direct support to students, prospective students, clients, or community members.
  • Experience communicating information to individuals and groups through presentations, information sessions, workshops, or similar activities.
  • Demonstrated ability to organize and manage multiple assignments, deadlines, events, or priorities.
  • Demonstrated ability to communicate effectively, both verbally and in writing, with individuals from a variety of backgrounds.
  • Experience using technology to maintain records, track interactions, or manage communications.

Additional Considerations
  • Additional education or training in counseling, higher education, education, or a related discipline.
  • Direct experience in academic advising, admissions, school counseling, or student affairs.
  • Experience working directly with high school students, college students, and adult learners.
  • Familiarity with community college programs, pathways, and enrollment processes.
  • Hands-on experience with higher education technology platforms, such as Salesforce ( CRM ), Navigate, SIS , and XAP .
  • Proficiency in Spanish (bilingual or conversational Spanish preferred).
