Phase 1 Regional Campus Administrator Full Description

Job Summary
The Phase 1 Regional Campus Administrator is responsible for communication, coordination, scheduling, and providing instructional and learner support for all activities related to the Phase 1 courses (Year 1 and Year 2) offered in West Lafayette as part of the Indiana University School of Medicine (IUSM) curriculum. This role involves supporting local course directors and students, scheduling community preceptors and physicians in collaboration with hospitals and medical practices in Lafayette and surrounding areas, assisting with the communication and scheduling of onsite Phase 1 faculty, coordinating and setting up daily student course activities, and maintaining curricular calendars. Additionally, the administrator collaborates with other IUSM Phase 1 campus administrators statewide, working with approximately 48 students and over 50 teaching faculty annually. The position entails implementing and administering daily course and early clinical experiences for medical students, operating under the Phase 1 Director’s guidance, supporting all site leaders, and working with other IUSM-WL staff. The role requires making independent decisions, problem-solving, and exercising judgment on a daily basis.

Education and Experience
Qualified candidates will need:
  • BA/BS degree 
  • An equivalent combination of education and experience will be considered
  • Two years of experience that indicates ability to work with professional students on a day-to-day basis to comfort, encourage, and insist that they meet requirements for a smoothly functioning educational environment
  • Experience that indicates ability to coordinate medical education-related activities of multiple organizations, and individuals (students, staff, faculty, physicians, and administrators) to meet specific medical education goals and requirements
  • Examples of organizations with which the successful candidate will interact include universities, hospitals, clinics, and private medical practices
 
Skills Needed:
  • Excellent communication and problem-solving skills to work with multiple stake-holders
  • Successful candidate should have the ability to conduct professional communication with staff, nurses, physicians, and other medical personnel via multiple communication channels, e.g., telephone, email, and formal letters, this includes drafting memos and letters
  • Successful candidate should be comfortable with organizing large meetings and banquets, including setting of venues, menus, seating arrangements that accommodate various interpersonal and inter-organizational sensitivities, AV requirements, and creation and delivery of invitation lists
  • Demonstrated effective use of Microsoft WindowsR operating system, Microsoft Office (WordR, OutlookR, ExcelR, PowerPointR, AccessR), Adobe PhotoshopR and AcrobatR, and university grade reporting and scheduling programs
  • Valid driver’s license required; expected to travel locally average 2 days/week
 
What is Helpful:
  • BA/BS degree in education or health related field
  • Experience effectively communicating curricular requirements, to include details of courses, grading systems competency curriculum and clinical rotations, to physicians and their staff members
  • Ability to read critically, e.g., to evaluate inter-institutional contracts/policies and make appropriate recommendations to superiors for changes or approval
  • Knowledge of medical education curriculum from first through fourth year including course requirements, and clinical training vocabulary
  • Understanding of HIPAA & FERPA
