Program Administration Specialist Full Description

Job Summary
The Master's Program Manager administers and coordinates master's programs within the Elmore Family School of Electrical and Computer Engineering, and the related Purdue Online MS programs. This position interfaces directly with both existing and prospective MS students as well as faculty, staff, and campus partners to ensure students have the information needed to successfully complete their studies in ECE and in related Purdue Online programs.

What You'll Be Doing:
  • Serves as a primary resource person to faculty and students regarding all aspects of the ECE MS and related Purdue Online MS programs
  • Supports faculty in their interactions with master's students, including meeting the needs of online students
  • Implements new programs; communicates policies and procedures to faculty, staff, and students
  • Advises online, West Lafayette, and Indianapolis residential MSECE and MSSWE students on course selection, plans of study, degree progress, and other academic concerns
  • Advises ECE, SWE, and related Purdue 4+1 students while undergraduates and students in collaborative ECE programs with other institutions
  • Manages student records in Banner, GRM, and other systems to ensure accurate, up-to-date information
  • Supports schedule deputy and ECE associate head of teaching and learning with development of ECE graduate course schedules
  • Interfaces with campus partners, including Registrar and OSGPS, to resolve student issues
  • Monitors students' academic progress and serves as the program registration official, maintaining records and ensuring confidentiality
  • Routinely communicates events, deadlines, and policies to ECE and related MS students; keeps program documents and websites current
  • Coordinates communications strategies for recruiting prospective students and contributes to program growth strategies, including recruitment and admissions events
  • Participates in and organizes committees related to ECE graduate programs
  • Conducts in-person and virtual information and recruiting sessions for existing and prospective students
  • Collaborates with faculty to manage admissions cycles for residential and/or online programs

What We're Looking For:

Education and Experience:
  • Bachelor's degree
  • Two (2) years of experience in higher education, recruitment, performance management, training and development, or another related field
Skills needed:
  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook, with the ability to design, develop, and manipulate tables and charts
  • Excellent customer service, interpersonal and communication skills
  • Ability to exercise good judgment and discretion in analyzing and resolving confidential and sensitive situations with minimal supervision
  • Ability to grasp policies and procedures related to different aspects of student services
  • Sensitivity to cultural, political, and geographical differences, with the ability to work well with a diverse student body
  • Ability to work independently, handle interruptions, and manage multiple and varied tasks
  • Excellent organizational and time management skills
Nice to Have:
  • Master's degree in Management, Administration, Communications, Education, or Engineering
  • Experience with recruiting, mentoring and advising students
  • Experience with graduate program administration or working with graduate students
  • Knowledge of academic environment and previous university experience
