About the Opportunity CPS seeks a proactive Program Associate to provide enhanced support and program management. As a core member of our collaborative Academic Operations team, you will own the CPS academic schedule, ensuring every course and classroom aligns with absolute accuracy. We are seeking a precision-oriented coordinator to bridge the gap between faculty needs and campus logistics, providing the meticulous data management and hands-on support that keep our Northern Virginia Centers running flawlessly.
In support of CPS’s mission and vision, the Program Associate, Academic Operations provides coordination, program management and enhanced functional support of the Arlington and Alexandria Centers. Reporting to the Director of Academic Operations, this role’s primary responsibilities are to provide enhanced administrative support, logistical assistance with in person classes and events, and provide customer service at the GW Virginia Education Centers; and coordinate academic schedule drafting and the space scheduling processes. This position may be expected to support enrollment, marketing efforts, drafting program materials, planning and executing events, tracking spending and processing payments, preparing and analyzing reports, and similar duties.
Specific Duties Include:
ACADEMIC COURSE PLANNING Oversee academic scheduling for CPS undergraduate and graduate programs: Creates, coordinates, and implements scheduling materials each academic year for all CPS programs in accordance with guidelines and deadlines established by the Office of the Registrar. Collaborates with the Registrar to troubleshoot and resolve scheduling issues: Connects with CPS Program Directors to review and submit course changes. Update data in the Registrar’s spreadsheet/system. Handles one-off changes to courses as they occur. Verify schedule updates in Banner. Collaborates with CPS Faculty Affairs Specialist and Program Directors on faculty course assignments and appointment data entry. SPACE SCHEDULINGManagement of the classroom reservation system (EMS) in assigning all Northern Virginia Centers’ teaching, meeting, and event spaces. Connects with center-based Program Directors, scheduling staff, and administrators to allocate appropriate spaces for courses, special programs, and events.DATA COLLECTIONAssists the Vice Dean of Academic Affairs and team with data collection and data usage in support of accreditation processes, program assessments, and other evaluation processes. Oversees semesterly syllabus collection and performs basic completion review processes.Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. This position is located at the GW Alexandria Center. There may be occasional travel to the Arlington Center or main Foggy Bottom Campus, Washington, DC.
