Overview: 
Join the Center for Clinical and Translational Science (CCTS) at UMass Chan Medical School—a vibrant, collaborative environment dedicated to translating scientific discoveries into improved health outcomes. As a Program Coordinator for Projects & Communications, you’ll play a key role in communicating research initiatives, project progress, and outcomes across multiple platforms. You’ll develop and share content about CCTS activities, engage stakeholders through newsletters, web updates, and social media, and help ensure the accuracy and impact of our messaging. *This is a hybrid work model with the understanding that the Project Coordinator will be available and onsite as required to support the department** 

Responsibilities: 
  • Organize and plan work activities of the Department for review with appropriate senior staff
  • Implement and manage tasks in accordance with departmental objectives
  • Participate as a member of project teams; assist with project development activities such as compiling data, drafting reports, responding to requests, and supporting special projects.
  • Assist senior staff with project development activities: compiling data, drafting reports, and assisting with special projects
  • Develop and maintain time schedules for department staff, project events and office activities
  • Maintain project plans and produce related project reports and schedule activities for department staff and project events.
  • Compile and analyze data, and draft project and communication reports for review by senior staff
  • Initiate and maintain contact with key personnel including staff, department heads and external parties
  • Update the Director or designee on project details and changes in a timely manner
  • Review pertinent correspondence, communications, and background materials daily to remain current on departmental and operational matters.
  • Draft routine and specialized correspondence, meeting minutes, management reports for the Director or designee and department staff
  • Prepare multi-media presentations and reports utilizing a variety of software applications including, but not limited to: Microsoft Word, PowerPoint, and Visio
  • Develop, curate, and disseminate department communications including newsletters, web content, email blasts, and social media posts.
  • Analyze audience and stakeholder needs to tailor messaging for effective engagement. Monitor media coverage, manage media relations, and support responses to media inquiries.
  • Create and edit content for multiple platforms, ensuring accuracy, consistency, and quality of messaging.
  • Ensure accuracy, consistency, and quality of information in all communications.
  • Maintain project files and communications support materials
  • Demonstrate cultural sensitivity and competence in all internal and external communications.
  • Perform other duties as required.
 
Qualifications: 
  • Bachelor's Level Degree or equivalent in business administration, communications, or a related field, or equivalent experience.
  • 1-3 years of experience coordinating and planning projects and managing communications.
  • Ability to work in a team and meet performance deadlines in a dynamic environment
  • Excellent oral and written communication skills necessary to interact with clients and staff
  • Demonstrated experience in using computer-based tools including electronic mail, word processing, spreadsheet and database products.
  • Ability to work in a team and meet performance deadlines in a dynamic environment.
  • Proficient in computer-based tools for project and communication support, including email, word processing, spreadsheets, and databases, as well as digital communications and graphics applications such as content management systems (CMS), Microsoft Office Suite, Adobe Creative Suite (Photoshop, Illustrator, InDesign), and presentation software (PowerPoint, Visio).
  • Knowledge of content creation and dissemination for digital platforms (web, email, social media).
  • Demonstrated experience in strategic messaging, audience analysis, and adapting communications to varied platforms
