Job Description:

The College of Integrative Sciences and Arts (CISA) seeks a highly organized and service-oriented Program Coordinator, Sr to join the Scheduling Team at the ASU Downtown Phoenix campus. Reporting to the Director of Academic Services, this position plays a central role in supporting strategic academic scheduling and curriculum initiatives, front desk management and operations, enrollment oversight, and daily academic services across undergraduate and graduate programs.

The Program Coordinator, Sr. coordinates course scheduling and classroom assignments across campuses, manages enrollment processes and Instructor Class Funding, and supports curriculum actions in Kuali. Working closely with faculty leadership, advising teams, the Registrar's Office, and campus partners, the role ensures accuracy, policy compliance, and timely implementation of academic decisions. In addition, this position oversees customer service operations and Salesforce case management, and manages key operational functions including room reservations, access coordination, technology and facilities support, inventory and mail distribution, and supervision of student workers.

The ideal candidate is a detail-oriented and adaptable professional with experience in higher education scheduling or academic operations, strong customer service and communication skills, and the ability to manage complex, overlapping workflows across academic terms. They demonstrate sound judgment, strong organizational skills, and the ability to collaborate effectively with stakeholders while supporting academic excellence, operational efficiency, and student success within CISA.

Essential Duties:
Course Scheduling
  • Review and analyze scheduling dashboards and data reports to evaluate course offerings, identify trends in enrollment and space utilization, and make data-informed recommendations to optimize course scheduling efficiency and resource allocation.
  • Develop and manage course schedules across multiple campuses and modalities by collaborating with faculty leadership, collecting term updates, assigning rooms in Astra, and coordinating with Classroom Scheduling to ensure appropriate and strategic space placement.
  • Distribute weekly enrollment reports to faculty leadership.
  • Complete Instructor Class Funding (ICF) each term.
  • Serve as backup roster contact for grading and enrollment-related issues.
  • Submit and manage curriculum proposals in Kuali, including: New courses and topics; Course modifications and deletions and General Studies designations.
  • Manage University classroom reservations in Astra and department-owned conference room reservations via Wrike.
  • Assist with various reports and audits in support of Academic Services and CISA.
Front Desk & Operational Responsibilities
  • Provide front desk and operational support by: Assisting student workers; Responding to inquiries via phone, walk-ins, and Salesforce; Managing office logistics, deliveries, and equipment needs.
  • Process late enrollment request changes (ECRS), enrollment overrides and administrative proxies (individual and batch), and generate Dean's List reports following grade submission.
  • Validate visitor parking and maintain visitor logs.
  • Oversee the customer service experience for students, faculty, staff, and community members.
  • Manage and supervise Salesforce case processing and the CISA Academic Support Salesforce channel.
  • Coordinate office and room assignments.
  • Manage room access, reservations, and master key access.
  • Oversee office setup, cleanup, and general faculty/staff needs.
  • Monitor supply inventory and purchasing.
  • Coordinate mail and package distribution across Downtown locations.

Desired Qualifications:
  • Demonstrated experience in academic scheduling, enrollment management, or curriculum coordination within a higher education environment.
  • Strong customer service skills with the ability to support students, faculty, staff, and community members in a high-volume, service-oriented setting.
  • Proficiency with enterprise systems such as Salesforce, Astra, Kuali, or similar academic and administrative platforms.
  • Experience processing enrollment overrides, administrative proxies, or Registrar-related requests with attention to accuracy and compliance.
  • Ability to manage multiple priorities, deadlines, and complex workflows across academic terms and operational cycles.
  • Strong written and verbal communication skills, with the ability to collaborate and problem solve effectively with faculty leadership and campus partners.
  • Experience supervising or supporting student workers, including training, guidance, and workflow coordination.
  • Knowledge of classroom scheduling, room reservations, and facilities coordination in a multi-campus or shared-space environment.
  • Experience with office operations, including inventory management, purchasing, mail distribution, and basic facilities or technology coordination.
  • High attention to detail, sound judgment, and discretion when handling sensitive student, faculty, and institutional information.

Working Environment:
  • Days and Schedule: Monday - Friday 8:00 a.m. - 5:00 p.m., evenings and weekends may occasionally be required.
  • Ability to clearly communicate verbally, read, write, see and hear to perform essential functions; Regular use of standard office equipment including, but not limited to computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, and associated computer/technology peripherals.
  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%).
  • Frequent bending, reaching, lifting, pushing, pulling, and carrying objects up to 25 pounds (5%).
  • Occasional meetings across ASU campuses and with external partners.
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
