Creating an excellent campus visit and event experience helps students fully understand what Arizona State University has to offer and helps them find their right fit. Visiting campus is critical to the process of choosing a university, and the program manager is instrumental in creating engaging and informative experiences to help students find their fit.
As part of Arizona State University's California Center enrollment services team, the focus of the job is to oversee the development, execution and assessment of events and campus visit programming focused on enrollment initiatives, at the direction of the director. A key focus is managing events to provide exceptional customer service and create impactful, engaging experiences for all guests.
Additionally, the position is responsible for the enrollment services student experience at ASU California Center. Requiring a high level of organization, this includes the management of student employment and on-site scheduling of team members to meet needs of the university.
Essential to the job is making connections with people, motivating and inspiring them to achieve results. The work is results based and requires gaining the commitment and buy-in of others. While the job requires strong initiative and self-direction, results are only achieved with and through people. A sincere appreciation for people and how they are each uniquely motivated is the foundation for designing and implementing interactive visits and events.
The position is located at ASU California Center in downtown Los Angeles, where the job environment is fast-paced and results oriented. While there is urgency to goal achievement, responsibility for the achievement of results needs to be shared and effectively delegated when necessary. Developing new events and enhancing the visit experience will often require training and developing others, and enlisting their support. With shared goals, the position works with university partners to launch new programming with Admissions Services support. A self-confident, approachable style that can enliven, engage and positively impact individuals and groups is essential.
The job has a variety of tasks and is dynamic and changing. Because goals and desired results can quickly change, the job requires regularly meeting and pro-actively establishing relationships with new groups. The ability to understand, quickly react and motivate others to adapt to the changing organization environment is a critical key to success. In general, the core of this position requires a motivated and motivating team builder, well versed in event development and management.
The Program Manager is expected to work daily, on-site at the ASU California Center, in downtown Los Angeles.
Essential Duties:
- Plan, coordinate and execute new student recruitment visit and event programs at the California Center.
- Serve as the supervisor for the student workers and develop training and professional development.
- Participate in developing and administering department budgets for visit and event expenses in assigned areas.
- Manage the Future Sun Devil Welcome Center facilities at the California Center.
- Train and evaluate new ASU California Center Enrollment Services staff on visit information, tours, and information session presentation material.
- Collaborate with university partners to develop a vision for visits and events unique to the downtown Los Angeles experience and in accordance with enrollment goals and initiatives.
- Manage logistics, scheduling, staffing needs and participant communications for visit programming and events, virtual and in person.
- Assist with the review of communications and collateral as they relate to assigned events, including reviewing email and print collateral, initiating the build of registration forms, creating confirmation emails, in partnership with a communications manager.
- Evaluate program effectiveness to develop improved methods; devise evaluation methodology and implementation; analyze results and recommend and/or take appropriate action.
- Monitor the budget throughout the year to ensure expenditures are spent efficiently, effectively and appropriately.
- Prepare annual budget proposals and on-going recommendations specific to Enrollment Services at the California Center.
- Maintain and administer databases relied upon to create a successful campus visit or event.
- Represent the University through presentations at campus visit and event activities.
- Encourage, cultivate and maintain effective working relationships with university partners.
- Prepare and coordinate reports and trends related to visit programming, events and data relating to high school, community college, and professional constituents.
- Manage the California Center Welcome Center and Enrollment Services front counter staffing schedule and workflow, to meet the needs of the university.
- Train Enrollment Services staff on front counter processes and procedures at the California Center.
- Identify and resolve problems and issues impacting students and the records and enrollment processes.
- Utilize customer relationship management technology, student information systems, and other innovative tools to organize and maintain the data of recruitment, enrollment, and affinity building initiatives.
- Assist Enrollment Services staff as needed.
- Serve as an Admission Services liaison with assigned university stakeholders and constituents associated with the engagement and recruitment of assigned student markets and/or programmatic involvement.
- Develop, maintain, and implement department policies and procedures.
- Ability to work daily on-site at the California Center, along with flexibility to work frequent nights and occasional weekends, are required to perform the tasks necessary to be successful in this position.

Working Environment:
- Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
- Frequently required to stand for varying lengths of time and walk moderate distances to perform work.
- Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
- Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
- Frequent travel, involving operation of a motor vehicle.
- Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
- This position receives regular review of objectives and is located onsite at the downtown Los Angeles California Center.
- Occasional evenings and weekends are expected.
