Program Technician 1 Full Description

Department Overview: 
This position supports the academic mission of the school, which includes administrative support for day-to-day program operations and support in the areas of student recruitment, admission, and progression, and overall academic program support. This position supports the campus/program as part of a team, which includes faculty and professional staff and is the primary point of contact for students. 

Function/Duties of Position: 
Student Progression & Academic Program Support
  • Works with Campus Associate Dean and SoN Admissions Office to organize and implement admission processes, including providing advising and application preparation for pre-nursing students.
  • Organizes and participates in a comprehensive program of new student orientation and onboarding to facilitate a smooth transition into the program.
  • Provides academic advising to students each quarter to ensure that they are on track to fulfill all degree requirements before program completion. Uses DegreeWorks to build and maintain up-to-date tracking sheets for each student.
  • Communicates academic and student policies and procedures to help clarify student requirements, next steps, and ensure progression through the program.
  • Monitors student accounts each quarter and assists as needed with resolving holds in preparation for registration. Notifies students when schedules are available and registration is open. Tracks registration for each course ahead of the term start date.
  • Collaborates with course coordinators, textbook vendors, and OHSU library to develop textbook and supplies lists and communicates lists to students.
  • Registers all students in host campus placeholder course each term. Communicates with host campus annually about updates to course list.
  • Meets with faculty and staff quarterly to determine course needs and develop a timeline for providing support for the term, including assisting in course and room scheduling. Collaborates with the Registrar in course creation and inputs all course details into Banner.
  • Monitors and maintains student electronic records within different electronic systems including Banner, OnBase, and Degree Works. Updates student contact lists and photo sheets on a regular basis.
  • Works with Campus Associate Dean to process all forms and paperwork relating to student withdrawal from the program and leaves of absence. Communicates with students returning from leave of absence to prepare them for reentry into the program.
  • Instructs students about graduation application procedures as they near program completion. Communicates with OHSU registrar to track applications. Acts as liaison to host campus for students pursuing supplemental degrees.
  • Assists Campus Associate Dean with implementation of student accommodations.
Administrative Support
  • Organizes monthly, quarterly, and annual campus events in collaboration with the Administrative Manager and the host campus, including commencement, honor society induction, workshops, and lectures.
  • Organizes staff support for proctoring exams as needed for undergraduate and distance delivery programs.
  • Assists Administrative Manager as needed with global student-exchange program.
  • Meets and greets college administrators, faculty, and students daily and maintains a cordial and welcoming environment.
  • Responds daily to phone calls and emails from the public, host campus, and OHSU community pertaining to the program and campus, responding with a professional level of proficiency and integrity.
  • Responds daily to priority requests, re-adjusts workload as needed and keeps the Administrative Manager appropriately informed.
  • Participates in committee meetings, sets agendas, assists with meeting arrangements, and takes minutes for the campus and program as assigned.
  • Coordinates the preparation and composition of correspondence, reports, memos, or other program documents for academic programs as needed.
Technical Support
  • Provides technical assistance support to faculty and sta Save ff with Outlook, PowerPoint, Excel, Internet, and data base technologies (Banner, Degree Works, Cognos) as needed.
  • Maintains knowledge of classroom technologies and equipment and troubleshoots problems in collaboration with appropriate OHSU and host campus IT teams.
  • Oversees hallway display monitor and creates updated content on an ongoing basis. 
Financial
  • Processes reimbursements and expenses for Ashland based student groups from student activities fund.
  • Initiates purchases, disbursements, and reimbursements as directed by the Administrative Manager. 

Required Qualifications: 
  • A bachelor’s degree in Business Administration, Management, Public Administration, or a field directly related to the position will substitute for two years of the required experience.
  • Three years of experience administering or coordinating parts or subsets of a project or program.
  • Working familiarity with Microsoft Office products
 
Preferred Qualifications: 
  • Bachelors or Masters Degree in student services or related major
  • At least one year providing counseling and/or case management of health professions students

  • Bilingual/fluent in Spanish
  • Strong ties/relationships with local underrepresented communities
