Regulatory Operations Specialist I Full Description

Overview: 
Regulatory Compliance Specialist I
The Regulatory Compliance Specialist I is responsible for collecting, organizing, and maintaining documentation required to support regulatory submissions and ensure institutional compliance with all applicable federal, state, and accreditation standards. This role proactively monitors regulatory changes and develops streamlined processes to gather necessary information from CSC departments. By coordinating cross-functional efforts, the specialist ensures timely and accurate adherence to evolving legal, regulatory, and institutional policies.

Responsibilities: 
  • Assist in the development, review, and implementation of institutional policies and procedures to ensure compliance with applicable federal, state, and accreditation standards
    • Stay current with changes in federal, state, and local regulations, as well as accreditation requirements relevant to higher education
  • Monitor and track complaints to ensure resolution aligns with regulatory and accreditation standards.
    • Collaborate with compliance, academic, and operational teams to gather necessary information for regulatory updates, institutional changes, and application submissions
  • Verify compliance with data protection laws, including FERPA, and support the review of policies and procedures related to student records and information security
  • Review all program revision and new program applications prior to submission to ensure quality, consistency, and adherence to regulatory requirements
  • Review school websites and publications to maintain accuracy and compliance with applicable regulations
    • Monitor regulatory updates and ensure institutional processes and filings remain current and compliant
  • Prepare and submit required reports to regulatory bodies, including accreditation agencies, state education departments, and federal entities
  • Maintain organized and accurate records of compliance activities, including audits, reports, policies, and training documentation
  • Prepare, review, and submit regulatory applications, renewals, and notifications in accordance with applicable laws and standards
  • Support accreditation processes by ensuring documentation aligns with institutional and regulatory expectations
    • Work closely with academic and administrative departments to address compliance concerns and implement corrective actions as needed
  • Provide guidance to internal teams on regulatory application requirements, timelines, and documentation standards
    • Identify potential compliance risks and develop strategies to mitigate them
  • Other duties as assigned
 
Qualifications:
Licenses/Certifications
  • Certification in compliance or regulatory affairs (e.g., Certified Compliance & Ethics Professional (CCEP))(preferred)
Education/Experience
  • Bachelor’s degree in Education, Business Administration, Public Policy, or a related field (required); Master’s degree (preferred)
  • Minimum of one (1) year of experience in regulatory compliance, licensing, accreditation or related area (required); in Higher Education (preferred)
  • Experience working with higher education regulations, including Title IV, ADA, FERPA, Clery Act, and state authorization requirements (preferred)
Skills
  • Knowledge of accreditation processes and standards (e.g., regional accrediting bodies such as HLC, SACSCOC, WASC)
  • Proficiency with student compliance management systems, student information systems, data management tools, and in Microsoft Office Suite
  • Intermediate skills in online education and state authorization compliance
  • Knowledge of regulatory application processes and documentation requirements

Work Environment
  • Work is performed indoors in a climate-controlled environment when on site at assigned company location. Employees must be able to safely ambulate when on company premises.
  • This position is designated as Hybrid (combination of onsite and remote); Employees must meet minimum technical standards for eligibility and participation. Work environments may include exposure to student learning environments with a variety of conditions. Employees must be able to follow all safety precautions including the use of personal-protective equipment. Employees must also be able to adhere to site-specific safety procedures.
