Job Description:
The Department of Marketing in the W. P. Carey School of Business is seeking a highly- organized, execution-driven, self-starter with strong communication skills who thrives in a flexible, multitasking environment. The successful candidate will work independently under general direction and as part of a team, providing crucial backup support and assistance wherever needed. This position includes office duties and event coordination for the Department of Marketing, with a strong emphasis on our nationally recognized Professional Sales Program.

The Department of Marketing is committed to educating students and leaders in ethical and thoughtful marketing practices that benefit organizations and consumers, creating knowledge and disseminating research findings that positively impact the trajectory of business and society, and influencing marketing best practices by actively engaging with business and the communities we serve. We work closely with a wide array of corporate partners to provide students with innovative curriculum, unique experiential learning opportunities such as professional sales competitions, and the ability to interact with marketing professionals pursuing a variety of career paths. This position plays an important role in helping faculty and other staff members advance the department and enhance the success of our students. 

Days and Schedule: Typical work schedule is Monday-Friday 8:00-5:00. There will be occasional evening hours and at least two weekends for program events during the academic year. This position will require you to be on the Tempe Campus. There is possibility for a hybrid work arrangement in accordance with ASU policies.

Position Salary Range:
$48,600-$55,000; to commensurate with experience

Essential Duties:
Event Coordination & Implementation (45%)
  • Coordinate and execute Professional Sales Program events, including two large multi-university sales competitions annually.
  • Develop and manage detailed event timelines and logistics involving students, faculty, corporate partners, and external participants.
  • Arrange facilities, catering, materials, travel, lodging, and technology needs.
  • Serve as on-site event coordinator, overseeing setup, vendor communication, registration processes, and real-time troubleshooting to ensure seamless execution.
  • Monitor and track event budgets and related expenses.
Corporate & Stakeholder Support (20%)
  • Coordinate communications and logistics for corporate partners, advisory board members, sponsors, and guest speakers.
  • Maintain professional relationships with internal and external stakeholders.
  • Support corporate engagement activities, sponsorship documentation, and post-event follow-up.
  • Ensure timely, accurate communication related to program events and initiatives.
Program Operations & Communications Support (20%)
  • Assist with marketing and promotional efforts, including website updates, social media coordination, and preparation of program and event materials.
  • Coordinate faculty group travel arrangements for program-related activities.
  • Support process improvements to enhance operational efficiency and participant experience.
Financial & Administrative Coordination (10%)
  • Process and track event-related invoices, sponsorship payments, awards, and financial documentation in accordance with university policies.
  • Prepare and manage sponsorship and membership invoices.
  • Maintain organized electronic and physical records, databases, and reporting systems.
  • Provide administrative support to ensure compliance with procurement and financial guidelines.
Additional Responsibilities (5%)
  • Perform other duties as assigned

Desired Qualifications:
  • 1+ years of professional event planning or program management experience
  • Demonstrated success executing complex, multi-stakeholder events
  • Strong project management and logistical coordination skills
  • High attention to detail with strong financial and documentation management abilities
  • Experience working with corporate clients, sponsors, and/or internal/external stakeholders in a team setting
  • Exceptional written and verbal communication skills
  • Ability to demonstrate problem solving and initiative in fast-paced environments
  • Proficiency in Microsoft Office; experience with event management, financial, marketing, or CRM systems preferred (e.g., Workday, Concur, Stova, Canva, Adobe, Google Forms, Qualtrics, etc.)
  • Experience developing event marketing materials and digital communications including social media
  • Evidence of a Bachelor's degree

Working Environment:
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse (75%); frequently required to stand for varying lengths of time and walk moderate distances to perform work (25%). Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Ability to clearly communicate to perform essential functions. Calculator, telephone, computer (monitor, keyboard and mouse), printer, fax and copier.
