Salesforce & AI Automation Administrator Full Description

As our Salesforce & AI Automation Administrator, you’ll have the opportunity to directly support the systems that help schools thrive by streamlining the way we work, ensuring we can focus on what matters most: improving the K-12 learning experience. This is a position within the Lightspeed Systems’ Management Information Systems (MIS) Department and combines Salesforce administration with AI-driven workflow automation to enhance business processes across the organization.   

The Administrator will help manage and support Salesforce while also leading the administration of AI-powered automations using no-code tools like n8n and AI platforms such as OpenAI. Primary responsibilities include maintaining Salesforce, building and scaling integrations, and connecting business systems — including BI platforms, data lakes, and communication tools — into cohesive, automated workflows. 

This role will work closely with the Salesforce Product Manager on delegated projects and tasks, while collaborating with stakeholders across the organization to drive AI Initiatives to automate workflows and business processes. This position ensures the efficiency, scalability, and stability of Lightspeed Systems’ technology ecosystem.  

ABOUT THE ROLE

The following are the essential functions of the position.  The list is not exhaustive and may be supplemented as necessary. 

  • Manage Salesforce administrative functions, including configuration, data management, reporting, and dashboards.
  • Evaluate, scope, and implement Salesforce requests across the organization.
  • Manage service desk tickets, testing, upgrades, and new features to ensure platform stability.
  • Ensure security compliance, enforce administrative access policies, and respond to system outages.
  • Design, build, and administer automated workflows using platforms such as n8n.
  • Create and refine prompt templates for AI models to deliver high-quality outputs.
  • Manage and maintain API keys and credentials essential to automated workflows
  • Monitor and troubleshoot automation workflows to ensure accuracy, reliability, and performance.
  • Stay current with advances in large language models (LLMs), prompt engineering, and emerging AI tools.
  • Partner with stakeholders to analyze business processes and recommend automation solutions.
  • Build project scopes, deployment schedules, and technical documentation.
  • Coordinate with contractors/vendors on Salesforce and automation projects.
  • Provide training and guidance to team members on automation best practices.
  • Monitor and enforce best practices, documentation, and governance for automation projects, ensuring alignment with company policies and compliance with security standards.
  • Support day-to-day MIS department operations as needed. 

ABOUT YOU

  • Bachelor’s degree in Information Systems, Business Administration, related field, or equivalent work experience.
  • Salesforce Administrator Certifications (Preferred).
  • Two to four years of Salesforce administration, including process automation, workflows, data management, reporting, and dashboards.  
  • Experience configuring and managing integrations across multiple systems.
  • Hands-on experience with no-code automation tools (e.g., n8n, Zapier, Make, or similar).   
  • Experience with Jira Service Desk or related IT service management tools a plus.   
  • Familiarity with APIs, webhooks, and working with structured data formats (e.g., JSON).
  • Understanding of prompt engineering, and how to structure effective prompts for AI models.
  • Understanding of workflows, and process requirements of complex application systems.  
  • Strong documentation and training skills, with the ability to communicate complex systems to non-technical audiences.   
  • Ability to administer, organize and document complex application systems and workflows
  • Ability to think creatively and apply strong analytical and problem-solving skills, driving issues to resolution and then logging and documenting both cause and resolution.
  • Excellent organizational, documentation, and problem-solving skills.
  • Ability to effectively interface with technical and nontechnical staff at all organizational levels.    
  • Strong attention to detail with both excellent written and oral communication skills.
  • Ability to accomplish projects within specified deadlines.
  • Ability to work independently and take initiative.  
  • Ability to function effectively in a fast-paced environment where high growth is the norm.
  • Available to work flexible hours and on-call support, including weekends and holidays.
