Department Summary
The Texas Talent Accelerator, launched by the University of North Texas, is a strategic regional initiative designed to address the evolving workforce needs of the rapidly growing North Texas region. As part of a collaborative network of employers, educational institutions, and economic development partners, the Accelerator works to align talent development with industry demands, foster innovation, and strengthen the region’s economic competitiveness. Located in one of the nation’s most dynamic business corridors, this initiative plays a critical role in shaping the future of workforce readiness and regional prosperity. Position Overview
The Administrative Assistant provides comprehensive administrative support to the Executive Director and the team at the Texas Talent Accelerator (TTA). The ideal candidate excels in a fast-paced, partnership-focused team environment requiring organizational skills and professional communication abilities.
Minimum Qualifications
Bachelor's degree and five years of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.

* Knowledge of accounting/budgeting procedures.

* Ability to conceptualize, plan and organize multiple programs and assignments effectively.

* Knowledge of policies, practices, procedures and terminology of assigned function.

Technical Skills:
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook calendaring)

• Experience with setting and conducting meetings using virtual meeting platforms (Teams and Zoom)
• Ability to maintain confidentiality and handle sensitive partnership information

Required License/Registration/Certifications Job DutiesExecutive Support & Operations
Provide high-level administrative support to the Executive Director, including calendar management and meeting coordination.Process and manage the Executive Director's expense reports and travel arrangements, and provide budget and vendor documentation support as needed.Prepare and edit documents, correspondence, email, and calendars using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Maintain confidential files and records in accordance with university and institute policies.Interact with other UNT departments for process questions, and coordinate with them on joint events, use of UNT spaces, and other support needs.Interact with vendors for documentation and invoice processing support.
Partnership & Stakeholder Relations
Serve as a team point of contact for corporate administrative assistants, community organization assistants, and external stakeholders' assistants.Coordinate the timing and logistics of meetings, communications, and note-taking; support project management scheduling activities and reminders.Maintain, enter data into, update, and edit entries in the CRM system (Salesforce).Draft routine email correspondence for the Executive Director's review.
Event Planning & Coordination
Coordinate and support the execution of virtual and live meetings, convenings, and partnership events.Support event logistics, including venue coordination, interfacing with the technology team for virtual meeting setup, and acting as the primary interface for ordering and presenting catering.Coordinate with internal marketing, communications, and events team members.Maintain event documentation, attendance records, and post-event follow-up.
Grant Administration Support (as needed)Assist with grant-related documentation, reporting, and compliance activities, particularly regarding timelines and formats of submission documentation.Support budget preparation and monitoring for grants and partnerships.Provide any necessary documentation to university grant administration offices, university fundraising, or other departments as needed.
Communications & Administrative SupportManage general or unknown party incoming communications, prioritize importance, and distribute to appropriate team members.Support the marketing and communications team with administrative tasks.Coordinate with other university departments and maintain institutional relationships with other administrative personnel.Assist with special projects and strategic initiatives as assigned.
