Senior Operations Administrator Full Description

Job Summary
This role provides strategic management and coordination of complex administrative and operational functions across the School. By ensuring that systems and processes operate efficiently and effectively, this role supports the School’s performance, productivity, and overall success. The position serves as a key administrative leader, partnering closely with the School Head and leadership team to achieve both immediate operational goals and long-term strategic priorities.
 
Core Responsibilities:
  • Operational Oversight
    This role leads and manages daily administrative operations, ensuring that consistent systems, policies, and procedures support the School’s mission. It continuously evaluates existing practices, identifies areas for improvement, and implements solutions to enhance workflow efficiency and service quality.
  • Team Leadership and Development
    This role directly supervises administrative staff, setting clear expectations and fostering a collaborative, accountable work environment. Responsibilities include recruiting, onboarding, coaching, and evaluating staff performance, as well as supporting professional growth and retention initiatives.
  • Faculty Affairs Coordination
    This role manages the full scope of faculty-related processes, including searches, hiring, reappointments, and promotions. It ensures all activities comply with University guidelines and timelines, while providing expert administrative support to faculty and School leadership.
  • Strategic and Executive Support
    This role supports the School Head and leadership team through high-level coordination, planning, and communication. It contributes to organizational strategy by aligning administrative priorities with schoolwide goals and assisting in the successful execution of key initiatives. In addition, this position serves as the Executive Assistant to the ECE Department Head, providing comprehensive executive support. Responsibilities include maintaining the executive’s calendars, scheduling complex meetings, preparing agendas, arranging travel, and ensuring that all support materials are prepared and available. The position also serves as a member of the School’s Cabinet, contributing to strategic discussions and administrative decision-making. 
  • Performance and Recognition Administration
    This role oversees the administration of School-wide staff performance reviews, award nominations, and recognition programs. It ensures process consistency, adherence to deadlines, and effective documentation to maintain high standards of operational integrity.
  • Continuous Improvement and Collaboration
    This role maintains active engagement with faculty, staff, and leadership to assess operational needs, streamline administrative processes, and promote collaboration across the School. It plays a central part in developing administrative systems that advance the School’s effectiveness and sustainability.

What We're Looking For
