THE ROLE

The Specialist reports to the Director of the Operations team.  In this role, you will support the design and implementation of internal operational tools and systems and own project work streams that help our team deliver training, coaching, and strategic planning to our clients.  You will work closely with the Director of Operations and Chief Operating Officer while also taking ownership of workstreams of cross-functional projects that require you to develop strong working relationships with team members and clients.

A successful candidate will be a team player with a passion for operational work, including building scalable, efficient systems and processes, and will have experience in roles that require fast-paced learning. The ideal candidate is able to work independently on projects, identify and implement solutions, and lead others to action.  They have superior organizational skills and are adept at tackling both small, detail-oriented tasks and implementing large-scale systems by asking insightful questions.

This position can be based from a home office anywhere in the U.S. Depending on location, expected travel time is 25 - 30% for onsite project work, company or team retreats, and other events.


RESPONSIBILITIES

Business Operations (60 - 70%)

  • Own the project initiation, mid-year, and close-out process and its implementation, ensuring all necessary documentation, tools, and systems are in place
  • Own the process of working with project teams to review and manage progress towards contract requirements and scoped services
  • Design and implement tools, templates, and systems to support project management and effective delivery of onsite and remote project work
  • Manage systems and processes for contractor payment, expense reimbursement, and travel, ensuring contractor payments are accurate and flagging discrepancies or outliers
  • Source, communicate, and coordinate with SchoolKit’s external vendors related to business and project operations
  • Design and manage contractor onboarding and offboarding processes working in conjunction with Talent & Human Resources
  • Own the collection, organization, and management of project, contractor, and other operational data, ensuring data accuracy, cleanliness, and completeness
  • Develop and implement standard operating procedures, work instructions, and resources to support team member learning
  • Own work streams on various strategic projects, ensuring task follow-through and progress (i.e, CRM implementation) 

Service Delivery (20 - 30%) 

  • Build positive and collaborative relationships with clients including state, district, school leaders to help achieve project goals and contribute to the continuation and expansion of our work
  • Own the vision for completing the operations workstream on projects in alignment with project goals and scope, specifically managing and providing onsite or virtual communications, logistical, or technology support (e.g., managing registration systems or processes, providing onsite logistical support for trainings, coordinating printing and dissemination of materials, leading facilitator communications and scheduling, overseeing a video editor or web designer, etc.)
  • Manage operations workstreams and timelines across multiple projects
  • Engage with project team members and clients to collect feedback and customize operations deliverables to meet client needs
  • Train and coach team members to effectively provide operational support on projects 

Leadership and Management (5 - 10%)

  • Contribute to hiring and development of team members, while fostering an inclusive and supportive environment that reflects SchoolKit's culture, values, and commitment to diversity, equity, and inclusion

EXPERIENCE

  • 5+ years work experience leading operations workstreams and complex projects, ideally in an education-related organization such as a school, a school district, or a non-profit
  • Proven ability to organize, prioritize, track, and manage workflow from multiple streams concurrently
  • Knowledge of best practices for project management and operations
  • Strong project and process management orientation; highly organized
  • Proven experience leading small collaborative teams and providing feedback to others  
  • A bachelor’s degree or equivalent experience

SKILLS

  • Excellent written and verbal communication skills for use with a variety of stakeholders
  • Intermediate-advanced proficiency in GoogleSheets and Excel (Google Query, complex formulas)
  • Proficiency using Zoom  
  • Proficiency using Google Apps with experience as a Google Admin preferred
  • Advanced proficiency in project management software (Asana, Monday)
  • Approach the work with a flexible, innovative, and service-oriented perspective
  • Tech-savvy and able to develop expertise in new technologies 
  • Demonstrate superb attention to detail: skilled at identifying, recording, and following up on complex action items

COMPENSATION

The starting salary for this position will be between $85,000 - 95,000 and is dependent on experience.
