Job Description:
SALARY RANGE: $50,000 to $53,800; DOE
Under the guidance of the Office of the Dean of Students in Tempe, the Specialist Sr. leads a team of student staff to provide effective support for all incoming student concerns. This role involves overseeing the management of student inquiries, ensuring timely and accurate responses, and connecting students with the appropriate professional staff. The Specialist Sr. handles escalations and manages communications via phone, email, and in-person interactions in collaboration with student and professional staff. The position will also provide administrative and day-to-day operational support to the office. Reporting directly to the Manager of Student Advocacy and Assistance, this position is pivotal in maintaining high standards of student support and service.

Currently hiring for the following shift: Monday - Friday 8:00am - 5:00pm

Essential Duties:
  • Supervise a team of student staff that provide direct support for front desk operations including recruitment, hiring, training, and day-to-day supervision and professional development of the staff.
  • Manage all incoming concerns to the Office of the Dean of Students, in collaboration with student and professional staff, to accurately and timely connect students for support.
  • Answer and manage incoming calls, emails, and walk-in inquiries while providing front desk coverage as needed to ensure excellent customer service throughout all points of contact.
  • Quickly assess and address urgent or crisis situations by utilizing de-escalation techniques and collaborating with the supervisor or appropriate professional staff member.
  • Address and resolve complex or escalated issues from front desk staff while maintaining a positive and professional environment.
  • Utilize case management software to track, manage, and connect students in need of support to the appropriate professional staff member.
  • Provide administrative support for professional staff in the office in support of day-to-day operations which may include calendaring, inventory/supply ordering, business support processes, and other related duties
  • Utilize strong decision-making skills to effectively provide support for all incoming concerns to ensure timely connection to services.
  • Administrative Support for Council of Religious Advisors (CORA); Oversee courtesy affiliate applications, update the website, and manage storage key distribution.
  • Danforth Chapel reservation management and coordination; serve as the main contact, update the website, conduct daily building inspections, and manage service requests.
  • Support the overall success of Educational Outreach and Student Services by performing other duties as assigned and serving on university committees and workgroups.

Desired Qualifications:
  • Prior experience in higher education or related setting.
  • Demonstrated experience supervising student staff.
  • Experience assisting others in navigating complex systems.
  • Demonstrated experience with navigating escalated concerns.
  • Knowledge of exemplary customer service practices and experience in a high volume office.
  • An understanding of crisis management or crisis intervention.
  • Experience in communicating difficult or sensitive information with relevant parties.
  • Experience organizing, coordinating and prioritizing work and activities.
  • Evidence of effective communication skills, both oral and written.
  • Demonstrated knowledge of technology.
  • Bilingual, Spanish preferred.

  • Work collaboratively across various departments within the University as well as with diverse populations and groups
  • Use computers effectively - including inputting, reviewing and retrieving information, extended periods of viewing screen and using mouse and keyboard

  • Climb stairs in locations with no elevator, such as with the mezzanine level of the MU, or Irish Hall
