General Description | The Student Services Generalist provides administrative and technical support to the Registrar’s Office to ensure efficient and accurate handling of student records. This position is responsible for assisting with the management of the transcript evaluation and chargeback process. The individual will also assist with course schedule updates and processing graduation. Additionally key functions will include, organizing documentation, scanning and linking documents into the student information system, and managing general office email correspondence. The role requires strong attention to detail, organizational skills, and the ability to maintain confidentiality.
Characteristics, Duties, and Responsibilities | · Assist with the evaluation and entry of transfer credits into student’s accounts.· Assist with processing Chargebacks in collaboration with other departments and external institutions.· Assist with course schedule updates and graduation processing.· Assist with the organization and processing of student documentation to ensure timely and accurate records.· Scan, link, and manage student records using Perceptive Content, Ellucian Colleague Student Information System, and AssureSign digital documentation software.· Manage general office communications, including responding to inquiries via email and phone in a professional and timely manner.· Maintain the confidentiality and security of student records in compliance with FERPA and college policies.· Performs related duties as assigned by supervisor.
Education Requirements | · Bachelor’s degree required.
Experience | · Experience in a Registrar, Admissions, Student Services or Academic office environment.· Familiarity with student information systems or document management platforms.· Outstanding customer service and communication skills.· Proficient in Microsoft Suite (Word, Excel, Outlook, PowerPoint).
Competencies and Skills Required | · Strong interpersonal skills with the ability to interact tactfully, courteously, and professionally with students, faculty, staff, and the general public.· Effective analytical and problem-solving abilities to address routine issues and support office functions.· Demonstrated initiative and ability to work independently to identify and resolve problems.· Collaborative mindset with the ability to work well in a team-oriented environment.· Commitment to providing excellent student service and supporting a diverse and inclusive campus community.
Physical Demands and Work Environment | · This position’s duties are normally performed in a typical interior/residence work environment, based on the activity scheduled.· Some physical effort required; however, the employee must occasionally lift and/or move up to 25 pounds.· No or very limited exposure to physical risk.· Some travel required.
Salary | $25.00 per hour

Terms of Employment | Flexible schedule to meet department needs. Some evening, weekends, and extended hours will be required. Ability and willingness to travel on short notice to all on and off- campus sites as needed by the college. Flexible hours are required throughout the year, especially at peak times. Position may be required to work at any campus at any time. Employee must establish primary residency in New Jersey within one year of appointment unless an exemption applies.
