Job Description  | General Description:
The Student Support Database Manager is primarily responsible for implementing and administering case coordination and Maxient-based technical assistance, leadership, and training that results in supporting students, faculty, and staff as they navigate the college’s student conduct process, Threat Assessment Team (TAT) process, Clery reports, and student needing assistance through the Office of Wellness and Mental Health. The Student Support Database Manager provides overall administrative oversight for Maxient in areas that fall under Student Affairs or units that are led by the Vice President for Student Affairs. This position reports to the Director of the Office of Wellness and Mental Health.

Duties and Tasks:Collecting, tracking, managing, assigning, and effectively administering incident reports and case files that concern student conduct, student mental health/well-being, Clery Act or Threat Assessment reports. Administering policies and procedures related to the NOVA Maxient User and Access Manual Ensuring all electronic correspondence, data, notes, and supportive or corrective actions are accurately documented in Maxient according to related state or federal laws and college policies and procedures. Managing all data, functions, and information in the Maxient database related to student conduct, NOVA Cares (Office of Mental Health & Wellness, or Threat Assessment) and maintaining strict adherence to guidelines for access. Leading the development, facilitation, and delivery of a college-wide training program for Maxient. Managing and securing electronic files for over 15,000 records and transactions annually. Managing access to Maxient in areas specific to Office of Student Support Services. Assisting faculty, staff, and students with student services areas and providing quality service and leadership concerning Maxient. Performs annual assessment and advises internal stakeholders on how to improve Maxient to support the college mission and strategic priorities.

KSA's/Required Qualifications  | Required KSAs: Knowledge of state and federal laws, regulations, policies, and procedures concerning threat assessment and students rights and responsibilities. Knowledge and understanding of working with cases involving student conduct/organizational misconduct, and behavioral wellbeing concerns. Knowledge of student conduct and conflict education theory and practice (e.g., the spectrum of resolution options model, inclusive conflict excellence, legal issues in student conduct, etc.). Knowledge of College and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences. Knowledge of the Maxient database or a related student conduct or electronic case management system. Knowledge of other common college computer application programs (SIS, Navigate, etc.). Strong skills in monitoring /processes or services, to make improvements. Strong writing and verbal communication skills Demonstrated technical skills sufficient to comprehensively use and oversee the maintenance of a complex and secure Database. Demonstrated problem-solving skills. Ability to work in diverse organizational settings and with diverse internal and external stakeholders in a higher education setting. Knowledge with complex systems and information Demonstrated ability to work independently with sensitive, confidential, volatile, and complicated issues with tact and political acumen. Ability to exercise independent thinking and judgment and sound decision-making. Demonstrated ability to interact effectively, productively, and sensitively with students, faculty, staff and parents per the standards and practices related to the Family Educational Rights Privacy Act (FERPA) and other relevant policies and best practices. Demonstrated ability to develop, facilitate, and lead training, presentations, and other learning activities to a wide variety of audiences, such as faculty, deans, department chairs, students, and staff.
