Job Description:
As a Student Support Specialist Senior on the Edson College of Nursing and Health Innovation's recruitment team, you will support enrollment goals through a variety of activities including graduate admission processing, managing the graduate supplemental application, reviewing graduate admission materials and websites, and providing support to other recruitment and admission initiatives to meet the goals of the college.
Although the focus of this position is on graduate recruitment and admission, the Student Support Specialist Senior will provide support to all incoming populations. This position ensures that recruitment goals and objectives are accomplished in accordance with Edson College of Nursing and Health Innovation's priorities. This position supports recruitment and admission initiatives, activities, and goals for all Edson College programs and locations.
Position Salary Range: $50,000 - $55,000, DOE
Essential Duties:
Graduate Admission Processing Lead:
Oversees graduate admission processing, including the development and maintenance of process guides, written communication related to graduate admission and next steps for students, and serving as the point of contact for various ASU units.
Recommends and implements strategies to streamline and enhance graduate admission procedures.
Responsible for maintaining graduate admission data, generating reports, and training team members on policies and procedures.
Attends meetings with faculty and leads to report on graduate admission data and processes.
Graduate Admission Application Processing:
Reviews completed applications, including evaluating transcripts and course equivalency assessments.
Enters and updates admission decisions in PeopleSoft, ensuring compliance with established time to decision timelines.
Prepares and sends timely admission notifications to applicants.
Coordinates faculty interviews for application review and supports communication with faculty leads for issuing final decisions.
Provides clear and effective communication to applicants and admits, including requests for additional information as needed.
Assists in reaching out to incomplete applicants to finalize their application status.
Collaborates with student services team members to support admission processing.
Supplemental Application Management:
Develops, updates, and maintains supplemental applications for graduate programs.
Website & Requirement Review:
Reviews and recommends updates to graduate recruitment requirements across various platforms, including ASU Online degree pages, the ASU catalog, and the Edson College website, to ensure up-to-date information is available to prospective students.
Salesforce Utilization:
Utilizes Salesforce to document and track interactions with prospective and current students, maintaining accurate and up-to-date records.
Recruitment:
Actively participates in the recruitment and admission team's efforts to grow enrollment. Supports recruitment efforts by meeting with prospective students, delivering presentations, providing tours and assisting with tabling and events, including off-campus activities aimed at promoting Edson College's programs.
Office and Phone Coverage:
Provides in-person office coverage as assigned primarily at the Downtown Phoenix campuses.
May be required to travel to other campuses or off-campus locations to meet operational needs or attend external commitments.
Shares responsibility with other recruitment and admission team members for providing office and phone coverage to assist prospective students and other stakeholders, addressing inquiries in a timely and professional manner.
Cross-Training & Team Support:
Maintains cross-functional knowledge in other areas of recruitment and admission, enabling flexible support across various roles as needed. Assists students, colleagues, and other stakeholders when required.
Compliance Support: Assists with compliance-related tasks, such as health and safety compliance for graduate programs, ensuring adherence to program, college and university requirements.
Prelicensure Undergraduate Nursing Support: Assists as needed in reviewing transcripts and applications for students interested in prelicensure nursing programs.
Supervise Student Staff: This position may supervise student staff based on student staff assignments and operational needs.
Additional Duties:
Performs other duties as assigned to support admission, recruitment, and the overall enrollment goals of the Student Success Initiatives team and the Edson College of Nursing and Health Innovation.
Deliver presentations.
Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts
Desired Qualifications:
Evidence of a Masters degree in higher education, student personnel administration, education, nursing/health, or closely related field.
Experience presenting to small and large groups of students.
Experience with admission application review and processing.
Experience developing a recruitment plan and implementing recruitment strategies.
Experience maintaining a student contact list for recruitment, admission, advising, or retention purposes.
Skill in preparing detailed reports on a timely basis.
Ability to clearly communicate to perform essential functions.
Work collaboratively across various departments, as well as with diverse populations and groups across the University.
Use computers effectively - including inputting, reviewing, retrieving information, extended periods of viewing screen, and using mouse and keyboard.
Ability to use calculator, telephone, computer (monitor, keyboard, and mouse), printer, fax, and copier.
Use of basic math and a calculator.
Professional representation of department/programs.
Ability to respond to emergency situations.
Demonstrated knowledge of management and supervisory principles and practices.
Demonstrates experience of providing service to students and/or customers.
Demonstrated knowledge of functionality of CRM programs and higher education student information systems.
Experience in establishing and maintaining effective working relationships with internal and external clients.
Experience in developing and conducting group presentations targeted to diverse programming, perspectives, or audiences.
Demonstrated knowledge of the principles, practices, methods and techniques of customer service.
Experience with Microsoft Office and Google Drive.
Working Environment:
Use of computer equipment and software.
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
Required to stand for varying lengths of time and walk (moderate) distances to perform work.
Use personal vehicle to travel to different campuses.
Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
Required to work (weekends, evenings, nights, on-call as regular part of the job).
Will be required to travel (for events, between campuses).
Hybrid work schedule.
Position may involve shared offices/space.
This position is full-time, and the incumbent must be available Monday - Friday, 8am-5pm.
The position is assigned to the Downtown Phoenix campus. Travel may be required to support admissions and recruitment activities, including out-of-state travel, in-state travel, or travel to other ASU locations.
