The Tradeshow and Events Specialist is responsible for managing the coordination, planning and execution of assigned events for our small to mid tier events. This role involves collaborating with internal teams and external partners to ensure the operational and logistical success of tradeshows, conferences, and other Marketing-supported events. The Specialist manages the day-to-day tasks associated with events and supports the inventory management, order processes, and CRM entries across segments.
Key Responsibilities:
- Lead the planning and execution of assigned small to mid tier events, tradeshows, conferences, and marketing events.
- Direct alignment between internal teams regarding event objectives, participation levels, contracts, and timelines.
- Serve as the primary point of contact for sponsors, venues, vendors, and other external partners.
- Manage event budgets and provide forecasts for assigned events.
- Oversee pre- and post-event logistics, including: Event registration, booth reservations, and virtual platform access, Shipping of booths, collateral, premiums, and other materials. Coordination of booth furnishings, audiovisual services, and technology needs. Procurement of attendee lists and other event-related materials. Setup and teardown of event booths.
- Manage the replenishment of event assets in alignment with established procedures and frameworks.
- Manage order processes and input CRM data across segments.
- Participate in pre-event meetings and post-event evaluations.
- Other duties as assigned.
Minimum Qualifications:
- Bachelor’s degree in Business, Communications, Hospitality/Event Management, or related field, or equivalent experience.
- 1+ years of experience in tradeshow and event management or related project management.
- Excellent written, verbal, and interpersonal communication skills.
- Strong organizational and planning skills with high attention to detail.
- Ability to prioritize and manage multiple tasks in a fast-paced environment.
- Proficiency in Microsoft Office and Google Workspace.
- Experience with Salesforce and project management platforms is a plus.
- Occasional travel required.

For full-time positions, Kaplan has two Salary Grades, this position is Salary Grade A: $31,200 to $78,600. Actual compensation for this role is determined by several factors including but not limited to job level, candidate's skills, experience, and education, among other factors determined by the business.
