Job Description
Reporting to the Lead Administrative Manager, the Undergraduate Operations Assistant plays a vital role in supporting the daily operations and student engagement initiatives of Undergraduate Programs in the Pamplin College of Business. This position serves as a primary point of contact for students, faculty, staff, and visitors, ensuring professional and efficient front office operations. The Undergraduate Operations Assistant also provides a broad range of administrative support, including financial processing, event planning and coordination, recruitment and outreach logistics, and student engagement programming. The ideal candidate is organized, detail-oriented, proactive, and able to manage multiple tasks in a fast-paced, student-centered environment. This position is expected to contribute to the Undergraduate Programs team with a spirit of collaboration and student care.
To ensure comprehensive training and integration into our college culture, the Undergraduate Operations Assistant will be fully on-site for the first six months. After this period, the role may shift to a hybrid schedule with up to one day of telework per week, subject to departmental needs.
Required Qualifications
• Demonstrated administrative or office experience in a professional setting.
• Experience using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Excellent communication and interpersonal skills; ability to interact effectively with individuals across various roles and backgrounds.
• Strong organizational and time-management skills, with the ability to prioritize multiple tasks and meet deadlines.
• Ability to work independently and collaboratively in a team environment.
Preferred Qualifications
• Experience working in a college or university setting, particularly in student services, events, or outreach.
• Commitment to maintaining confidentiality and upholding FERPA regulations.
• Ability to provide excellent customer service and respond professionally to inquiries in person, over the phone, and via email.
• Experience with event coordination and support, including logistics, communication, and on-site assistance.
• Experience in marketing or communications support (e.g., newsletters, social media, email communication).
