Essential Job Functions  | The primary purpose of the University Program Specialist is to serve as the college’s primary contact and to provide administrative support for the College Deans, Program Directors, and the Business Officer.

Responsibilities of the position include but are not limited to the following:

Serve as the primary contact for the College of Arts and Sciences. Manage and administer the programs within the college and provide administrative support for the dean, associate deans, and business officer. Interpret and provide information on policies and procedures. This position will be responsible for contracts, ordering, budget and completing all tasks for the Humanities Council( budget of approximately $50,000. ) This position will be responsible for all aspects of Summer Sessions 1 and 2 which has a budget of $5,670,000. within our college and serving 7, 405 students during summer sessions. Maintain and reconcile budgets, speaker contracts, processing travel, maintaining databases, compiling reports, updating the college manuals, room scheduling, assisting with special functions, ordering supplies and equipment, collection of time entry documents, serving as the payroll proxy for the College’s departments, and the hiring, training and supervising of student workers. This position will work collaboratively with other team members.

Knowledge, Skills, & Abilities Required for this Position 
Ability to use tact and diplomacy at all times as the primary contact for the college and ensure accuracy of the communication and an understanding of the message; Ability to review data and information for completeness and accuracy per university policies and procedures; Must have an in-depth knowledge of university policies and procedures; Ability to interpret and explain policies and procedures to faculty and staff in the college; Knowledge of travel rules and policies to complete travel expense reimbursements; Ability to manage tasks and workload to meet the college’s objectives and deadlines; Ability to take initiatives, prioritize work, work independently and complete projects without detailed instructions; Must be flexible to changes in assignments and daily interruptions; Ability to maintain accurate and detailed records/databases; Must be able to use and comprehend numerical data for budgeting purposes; Must be able to keep accurate budget records and provide budgetary reports; Knowledge of correct grammar and spelling and the ability to edit documents to ensure that all correspondence and written materials are complete and error-free; Ability to maintain confidentiality on sensitive and personnel-related issues; Ability to multi-task and complete work in a timely manner; Ability to assist with College website and cross train in other areas.
