The School of Integrated Engineering (SIE) within the Ira A. Fulton Schools of Engineering at Arizona State University is seeking a highly motivated, proactive Academic Personnel Specialist to join our team. The ideal candidate is a strong problem-solver who embraces continuous learning, thrives in a fast-paced and evolving environment, and values collaboration while supporting a dynamic academic community.
We are looking for someone entrepreneurial in spirit, with a sense of adventure and a willingness to build, refine, and improve processes in a growing school. This role is ideal for a candidate who is energized by new challenges and excited to help shape and strengthen our academic operations.
Essential Duties:
- Provide high-level administrative support to the Director, including calendar management, meeting coordination, travel, and special projects.
- Manage faculty academic personnel actions across university systems, including appointments, leaves, evaluations, and promotion and tenure processes.
- Coordinate faculty recruitment activities, including posting positions, supporting search committees, scheduling interviews and onboarding (logistics).
- Administer academic appointment and personnel systems (Workday, Interfolio, ASU Vita, Review, Promotion and Tenure).
- Serve as primary contact for hiring and onboarding graduate assistants, associates, and student employees.
- Support payroll and position management, including timekeeping, payroll reconciliation, and funding allocations.
- Manage unit purchasing, pCard transactions, budget reconciliations, and financial documentation in accordance with university policies.
- Coordinate unit events, communications, and maintain faculty/staff directories.
Desired Qualifications:
- Experience with faculty personnel actions (promotion and tenure, expedited reviews, probationary reviews, post-tenure reviews, promotion process for fixed term, instruction and research faculty, sabbatical leaves.
- Experience with the faculty recruitment process.
- Experience with using Interfolio products and implementation.
- Demonstrated knowledge of standard office and administrative practices.
- Experience in interpretating policies and procedures.
- Experience composing correspondence requiring judgement, originality and knowledge of issues involved.
- Experience in higher education.
- Experience managing calendar of high-level executives.
- Experience using a financial system, human resource management system, and reporting system in a higher education environment (Workday preferred).
- Demonstrated knowledge of travel policies (Concur preferred).
- Skill in coordinating activities and establishing priorities.
- Experience working in a fast-paced environment.
- Experience with Microsoft Office (Word and Outlook).
- Advanced knowledge of Microsoft Office Excel.
Working Environment:
- Activities are primarily performed in a regular, climate controlled office setting subject to extended periods of sitting, standing, walking
- Use office equipment including a desktop computer.
- Lift up to 20 pounds.
- Communicate to perform essential duties.
