Job Summary
The Clinical Education and Site Recruitment Manager supports the operational and administrative functions of clinical education for the Physician Assistant (PA) Program, with a primary focus on the Salt Lake City and northern Utah regions. This position works closely with the Director of Clinical Education, faculty, staff, preceptors, and students to support clinical site recruitment, rotation scheduling, compliance, and student services across both campuses.
Responsibilities
Key Responsibilities:
Clinical Site & Preceptor Support
  • Assist with clinical site and preceptor recruitment in Salt Lake City and northern Utah through outreach, site visits, meetings, and relationship-building activities.
  • Collect, maintain, and track clinical preceptor affiliation agreements and credentialing documentation, primarily for the Salt Lake City campus, with data entry into Exxat.
  • Verify clinical preceptor licensure information monthly and update records in Exxat.
  • Conduct and complete site assessments prior to student rotations, including in-person visits for St. George sites and coordination with Salt Lake City staff as needed.
  • Support Preceptor Clinical Medical Education (CME) processes for assigned regions, including review of evaluations and quarterly CME certificate generation.
Clinical Scheduling & Operations
  • Support clinical schedule management to ensure all students have confirmed rotations at least 30 days prior to start dates.
  • Update rotation schedules in Exxat and notify all relevant parties of schedule changes across both campuses.
  • Manage student rotation appeals, including documentation in Exxat, coordination with clinical sites, proposing solutions, updating schedules, and communicating outcomes.
  • Serve as a backup support for student absences, end-of-rotation exams, return visits, and other clinical-year activities as assigned.
Student, Faculty & Preceptor Support
  • Actively engage with PA students during DCE and all clinical rotations by providing direct support and addressing concerns.
  • Respond promptly and professionally to questions from students, faculty, and preceptors via email, phone, and in-person communication.
  • Assist with student absence management as backup support, ensuring compliance with program policies and proper documentation.
Systems, Data & Compliance
  • Utilize Exxat system and participate in ongoing Exxat trainings and feature updates.
  • Maintain accurate and up-to-date clinical education records to support accreditation and program compliance.
Program & Administrative Support
  • Co-chair the graduation planning committee that supports program graduation and commencement events.
  • Assist with PA student program activities including procedure Days, labs, community engagement events, and exam proctoring.
  • Coordinate purchasing needs for the clinical team and Salt Lake City campus; maintain clinical supplies and promotional inventory.
  • Create and coordinate Salt Lake City OSCE schedules and post related announcements for both campuses.
  • Assist with larger academic and program-related projects as assigned.
A hybrid work schedule may be permitted after the initial training period.

Minimum Qualifications
Bachelor’s degree in a related area plus three years of experience in budget, grant and program management or equivalency (one year of education can be substituted for two years of related work experience) required. Develops and implements program ideas into successful academic and research programs; demonstrated human relations and effective communication skills also required.
