Job Summary
The Academic Program Specialist provides support to the Dean and Associate Dean of Graduate Studies and Research for AddRan College and to the Director of the Master of Liberal Arts (MLA) Program by serving as the graduate program coordinator for the college, coordinating activities, supporting curricular initiatives, and facilitating program objectives.

Duties & Essential Job Functions:
  • Assists with all program administration for the Master of Liberal Arts (MLA) Program, including supervision of student workers.
  • Acts as the point of contact for MLA graduate admissions by educating graduate students about admission policies and procedures, guiding prospective students through the admissions process, and maintaining application files and communications databases.
  • Facilitates financial aid awards and human resource documents for financial aid delivery for AddRan graduate students in all programs; provides secondary advising support for graduate students.
  • Communicates with graduate students regarding graduation deadlines and requirements.
  • Manages public relations by greeting students in person or by telephone, answering or referring inquiries, and providing information about program functions.
  • Assists with course scheduling for various programs.
  • Coordinates program events by scheduling appointments, arranging travel and meals, and scheduling class visits.
  • Completes special projects by creating and updating college web content and producing and editing publications, working collaboratively with the college marketing specialist.
  • Monitors expenses by gathering and reporting budget information and facilitating and monitoring reimbursements for faculty and students.
  • Produces information by developing, transcribing, formatting, inputting, editing, retrieving, copying, filing, and transmitting text, data, and graphics securely across multiple platforms (e.g., MS Office, Box, Canva, Eventbrite).
  • Organizes work by reading, routing, and answering correspondence; collecting, maintaining, and prioritizing information; and updating records.
  • Provides occasional administrative and operational support for projects related to faculty development, and assists with program administration of the New Faculty Mentoring Program.
  • Serves as backup for other Academic Program Specialists during planned and unplanned absences and collaborates on college-wide initiatives and special projects.
  • Supports the syllabus review process, the ASRACS Research and Creativity Symposium, and other undergraduate programming.
  • Performs other related duties as assigned.
Required Education & Experience:
  • Bachelor's degree and 2+ years of program coordination experience, or a high school diploma/GED and 6+ years of program coordination experience.
Preferred Licensure, Certification, and/or Specialized Training:
  • Modern Campus CMS, Microsoft Excel, and/or Microsoft Word certifications.
Knowledge, Skills & Abilities:
  • Knowledge of customer service techniques, organizational techniques, research techniques, and interpersonal communication.
  • Knowledge of department-specific computer software, curriculum, and degree requirements, and university programs.
  • Skilled in some or all components of Microsoft Office.
  • Ability to balance multiple projects simultaneously and assume administrative functions with independent decision-making.
  • Ability to maintain staff confidence and protect operations by keeping information confidential.
Work Environment:
This role is an on-campus, in-person position, indoors and sedentary, subject to schedule changes and variable work hours.
