Job Description:
The Coordinator Senior position plans, organizes, and manages the data entry and data collection of multiple class schedules within the Department of Psychology. The successful candidate will also plan, organize, and coordinate support activities and functions related to graduate and undergraduate academic programs. This key role will additionally support student success by providing academic advising to undergraduate psychology and neuroscience students during high volume periods throughout the year.  The Coordinator Senior works under direct supervision of the Associate Director, Academic Services and in collaboration with Department of Psychology leadership, faculty, and staff, including colleagues across the university.

Position Salary Range:
$46,000 - $57,000 per year; DOE

Essential Duties:
  • Manages and implements all processes related to course scheduling for 3 prefixes (PSY, NEU, and PSB) in collaboration with Departmental leadership and faculty coordinators for each discipline in accordance with the Standard Operating Procedures of the Department of Psychology Course Scheduling process.
  • Works closely with faculty, staff and ASU partners on room management ensuring proper allocation of space needed to schedule semester classes and events related to departmental operations and programs.
  • Maintains direct contact and excellent collaborative relationships with personnel of various outside organizations and university departments associated with scheduling/rooms functions.
  • Provides academic program related support, including but not limited to teaching evaluation data set-up and cleaning, instructor class funding and effort reporting.
  • Serves as roster contact for grade processes and ensures compliance with ASU/ABOR policies and deadlines (final grade submissions, grade changes, incomplete grade review and oversight).
  • Provides assistance and information to faculty, staff, and outside organizations regarding Department of Psychology academic programs including the coordination of Kuali and Kuali Build submissions.
  • During high volume advising times provides 1:1 academic advising to undergraduate psychology and neuroscience students.
  • During high volume advising times provides back up to front desk including answering phone and checking students in for appointments and open advising.
  • Provides resource referrals to undergraduate students as needed.
  • Assists with answering student emails in both Outlook and Salesforce.
  • Assists with data management and running various reports related to enrollment, admission, and retention.
  • Interacts with and maintains professional and collaborative relationships with students, faculty, and staff within and beyond the Department of Psychology to facilitate departmental objectives.
  • Seeks to identify weaknesses in existing policies/processes/protocols pertinent to the role of academic programs coordinator and to suggest/develop potential solutions/changes.
  • May represent the department on various college and university committees.
  • Performs other duties as assigned.

Desired Qualifications:
  • Experience in class scheduling for a complex academic unit. 
  • Experience working with PeopleSoft. 
  • Experience working with room scheduling software and Ad ASTRA.
  • Experience with ASU academic program planning and scheduling activities, policies, and procedures.
  • Experience working with Kuali and Kuali Build. 
  • Experience in using Microsoft Office applications, Salesforce, Dropbox, Google Docs, and Adobe. 
  • Experience in coordinating activities, establishing priorities, and working under tight deadlines. 
  • Experience in problem solving and navigating complex systems. 

Working Environment:
  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. 
  • Frequent bending, reaching, lifting, pushing, and pulling up to 25 pounds. 
  • Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.  
  • Ability to clearly communicate to perform essential functions.
