POSITION SPECIFICS
The University Bursar's Office is seeking an Accounting Associate to support the financial administration of Military Third Party contracts. This position is responsible for creating and maintaining military-sponsored organization contracts, invoicing third-party military sponsors, processing and reconciling payments, and ensuring compliance with university policies and contractual requirements. The role requires strong attention to detail, collaboration with internal departments, and consistent communication with external military partners.

Key Responsibilities
  • Create, manage, and maintain organizational accounts and Military Third Party contracts within the student financial system
  • Set up and maintain authorized billing structures and contract terms for military-affiliated students and sponsoring agencies
  • Generate accurate and timely invoices to third-party military sponsors in accordance with contractual agreements
  • Process incoming payments from military third-party sponsors, including electronic payments, checks, and other approved methods
  • Deposit and post payments to the appropriate organizational accounts
  • Reconcile Military Third Party organizational accounts to ensure accuracy and completeness of financial records
  • Monitor outstanding receivables and follow up with military sponsors regarding unpaid or delayed invoices
  • Maintain detailed documentation and audit trails for contracts, invoices, and payments
  • Ensure compliance with university policies, state and federal regulations, and military contract requirements
  • Provide excellent customer service support to students, military contacts, and internal stakeholders regarding account inquiries
  • Respond to incoming phone calls/emails from customers regarding the status of student accounts; identify customers' needs, requests, and handle escalated calls/issues
  • Respond to incoming emails from customers via the Bursar's Electronic Student Inquiry Response System and SalesForce
  • Process Military Grant in Aid
