Job Description  | Join our TXST team on the beautiful and expanding Round Rock campus (RRC)!

The Administrative Assistant Il position in the Department of Health Informatics & Information Management (HIIM) provides administrative and general support to the Department Chair, Administrative Assistant III, faculty, and students.

Job Duties 
1. Provide general administrative support and represent the office as a professional environment.
2. Perform routine operations of the department including screening and transferring calls, greeting students, faculty and visitors and maintain confidentiality. Run errands, prepare outgoing mail, distribute incoming mail.
3. Provide departmental support to HIIM faculty and students.
4. Prepare correspondence and provide administrative support (class schedules, restriction, overrides, holds, degree audits etc.) to HIIM programs and students.
5. Prepare and maintain departmental contributions to HIIM marketing, recruiting and retention events.
6. Assist HIIM Department in recruiting students and program recognition.
7. Assist in coordinating faculty and students to represent HIIM department at events such as Bobcat Days, New Admitted Student Days, Discover TXST RRC and HOSA. Represent the department by attending various recruitment events. Prepare supplies needed for recruiting events.
8. Plan and coordinate department events for HIM students, faculty and community.
9. Assist in webpage/ social media (Facebook, Instagram, LinkedIn) management and updates using GATO editor, Canva, Adobe Acrobat, Photoshop, etc.
10. General office Inventory Management: Monitor and maintain stock levels, conduct regular counts, track usage, organize storage areas, and ensure proper storage conditions.
11. Responsible for creating, maintaining, and organizing various departmental files and records per records retention policy.
12. Create Database queries and generate reports. Organize data and lists into structured formats, such as spreadsheets or database.
13. Other duties as assigned.
