Job Description:
The Administrative Support Specialist provides administrative and operational support to the Business Office within the Academic and Student Affairs (ASA) department of the Ira A. Fulton Schools of Engineering. This part-time (20 hours per week), benefits-eligible staff position supports a range of HR and finance functions, including student worker hiring and onboarding, personnel transactions, and travel and event expense processing.

The ideal candidate will demonstrate strong attention to detail, excellent communication skills, and the ability to work collaboratively across teams to ensure timely and accurate completion of business processes.

Position Salary:
$21.20 per hour

Essential Duties:
Student Employment Support
  • Support student worker hiring processes for Student Success and Engagement programs (UGTA, FURI, MORE, FACE) by submitting offers in Workday, generating offer letters, and completing required hiring tasks through final onboarding.
  • Monitor and follow up on outstanding onboarding activities for student workers, ensuring completion of I-9 verification, compliance trainings, and other Workday HCM tasks.
  • Process personnel transactions in Workday HCM for student workers, including pay rate adjustments, FTE changes, and terminations.
  • Collaborate with program leads and HR/Finance teams to support seasonal hiring cycles and ensure alignment with payroll timelines.
Travel and Expense Processing
  • Efficiently process travel requests and travel expense reports using the university's online travel system.
  • Audit travel requests and expense reports to ensure compliance with university financial policies and procedures.
  • Communicate travel policies and procedures to university travelers and provide guidance in navigating the travel system.
  • Create and submit business paperwork for event expenses, including expenditure request forms, business meals forms, food waiver approvals, attendance sheets, receipts, environmental permits, and confirmations.
Administrative and Operational Support
  • Provide general administrative support for HR and finance functions, including data entry, tracking, and reporting.
  • Respond to inquiries via email and phone in a timely and professional manner.
  • Utilize various online systems, databases, and forms to complete work accurately and efficiently.
  • Perform other duties as assigned to support the goals and operations of the Business Office and Academic and Student Affairs.

  • Experience using Workday HCM or similar HR/finance systems.
  • Experience processing student employment actions in a university or public sector environment.
  • Experience preparing and auditing travel or expense reports.

Working Environment:
  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulation of a computer mouse (75%); frequently required to stand for varying lengths of time and walk moderate distances to perform work (25%.)
  • Regular activities require the ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
  • Calculator, telephone, computer (monitor, keyboard, and mouse,) printer, fax, and copier.
  • This position receives regular review of objectives by the department administrator.
