Position Summary | The primary location of this position is on-site in Cullowhee, NC.
Reporting to the Director of Donor Relations, the Advancement Stewardship Coordinator supports the university’s commitment to exemplary donor stewardship by ensuring transparency, accuracy, and consistency across all stewardship communications and processes. This position plays a key role in cultivating donor trust and satisfaction by providing timely, meaningful acknowledgment and reporting of philanthropic gifts and their impact. Working collaboratively across the Advancement division, the coordinator helps steward gifts at the highest level in support of WCU’s philanthropic priorities.
In this role, you will develop and execute best practices for donor stewardship, overseeing components of annual reports, gift acknowledgements, tribute reporting, and both print and digital stewardship initiatives. You will serve as project coordinator for annual reporting processes, working with the Advancement Business Officer and Director of Advancement Data Operations to ensure accurate, timely reporting that aligns with donor expectations.
A significant portion of your time will be dedicated to donor recognition and engagement—coordinating scholarship thank-you letters, supporting giving society members, facilitating philanthropic naming opportunities, and assisting with donor events and campaign-specific stewardship initiatives. You will also oversee designated aspects of the gift agreement process, ensuring donor intentions are properly documented and reporting access is appropriately enabled.
Additionally, you will collaborate with the Director of Donor Relations to help define and refine stewardship policies, procedures, and toolkits that support fundraisers and Advancement staff in maintaining a culture of appreciation and transparency as the university concludes its comprehensive campaign.
Knowledge, Skills, & Abilities Required for this Position | Proficiency in donor stewardship best practices, philanthropic communication, and donor database systems, particularly Blackbaud’s Raiser’s Edge and the university’s scholarship donor portal; strong working knowledge of Banner Finance and Microsoft 365 Strong project coordination and organizational skills with ability to manage multiple timelines and reporting processes simultaneously; proficiency in Microsoft Excel and Word, including Mail Merge functionality Excellent written and verbal communication skills with attention to detail in financial and gift documentation Ability to work collaboratively across departments, develop stewardship policies, and maintain donor-centered practices with discretion and professionalism
