Department Summary

The Institute for Health Disparities (IHD) conducts research, training and community
outreach in the areas of minority health, health disparities and workforce diversity.
Constituting the IHD are the Texas Center for Health Disparities, National Research
Mentoring Network, Texas CEAL Consortium, Diversity Training Programs, AIM-AHEAD and the NIMHD Endowment.

Position Overview

The Annual Meeting & Marketing Project Coordinator is a position in the AIM-AHEAD program in the Institute of Health Disparities at UNT Health. This position will be responsible for the planning, coordination, and execution of AIM-AHEAD’s annual conference and related events, as well as the development and implementation of marketing and communication strategies to promote the program’s initiatives. This role requires exceptional organizational skills, creativity, and the ability to manage multiple priorities while ensuring a seamless event experience and consistent program branding. May require occasional evening or weekend work to support events. Some travel required for onsite event support.

Minimum Qualifications

Bachelor's degree and two (2) years related experience; or any equivalent combination of education and experience.

Knowledge, Skills and Abilities

  • Strong project management and organizational skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, event registration platforms, and marketing tools (e.g., Mailchimp, Canva, Adobe Creative Suite).
  • Familiarity with social media platforms and website content management.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Strong problem-solving skills and ability to adapt to changing priorities.

Preferred Qualifications

  • Bachelor’s degree required: Degree in Marketing, IT, Communications, Event Management, Public Relations, or a related field preferred.
  • 3+ years of experience in event planning and/or marketing, preferably in an academic, healthcare, or nonprofit setting.
  • Experience managing conferences or large-scale events is strongly preferred

Job Duties

  • Plan, coordinate, and execute AIM-AHEAD’s annual meeting, including pre-event planning, onsite logistics, and post-event follow-up.
  • Develop and manage event timelines, budgets, and checklists to ensure all milestones are met.
  • Identify and coordinate with venues, vendors, speakers, panelists, and sponsors.
  • Oversee event registration processes, including attendee communications and support.
  • Manage audiovisual, catering, room setup, and other logistical needs.
  • Prepare conference materials such as agendas, name badges, signage, and digital content.
  • Coordinate travel arrangements and accommodations for invited guests, speakers, and staff.
  • Conduct post-event evaluations and develop recommendations for future improvements.
  • Develop and implement marketing strategies to promote AIM-AHEAD’s programs, events, and initiatives. · Ensure consistent branding and messaging across all marketing channels.
  • Design and distribute marketing collateral, including flyers, newsletters, email campaigns, and social media content. - (Essential)
  • Maintain and update AIM-AHEAD’s website and event pages. 
  • Monitor engagement metrics to assess campaign effectiveness and recommend improvements. Collaborate with program staff to highlight success stories, research updates, and partnership announcements.
