General Job Description
This is an administrative position responsible for coordinating and overseeing administrative support operations within the department. Responsible for assisting with budget planning, forecasting, and monitoring; and planning, organizing, and performing a wide variety of administrative activities. Responsible for providing end user support for the university’s learning management system. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. Reports to the director.
Essential Job Functions
1. Provides support for the university’s learning management system (LMS) to faculty, staff and students in person and by phone, email and web conferencing platform.
2. Plans, organizes, coordinates, and evaluates departmental administrative operations to ensure compliance with applicable federal, state, and local laws, rules, and regulations and university policies and procedures.
3. Assists with budget review and development, posts and reconciles accounts, prepares financial reports and cost analyses, verifies the accuracy of data and entries, and monitors expenditures to maintain a sound financial status for the department.
4. Coordinates office travel and provides oversight of departmental travel.
5. Initiates and processes requisitions for purchases; maintains requisitions for purchasing inventory of equipment and supplies.
6. Schedules, coordinates, and assists with meetings, conferences, and other events.
7. Collaborates with colleagues within and outside the department to provide optimal end user support experience.
8. Maintains departmental personnel files as well as departmental policies and procedures.
9. Coordinates records maintenance and retention for departmental administrative operations.
10. Maintains currency of knowledge and skills through professional development activities and independent research.
Non-Essential Job Functions
1. May serve on department or campus-wide committees, as assigned.
2. Assists with special projects, as assigned.
3. Performs other related duties as assigned.
Required Knowledge, Skills, and Abilities
The individual must possess the following knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.
1. Knowledge of, or ability to learn, university policies and procedures.
2. Knowledge of administrative and clerical procedures and systems such as files and records management, forms creation and design, and other office procedures and terminology.
3. Knowledge of, or ability to learn, end user support for university learning management system.
4. Skill in the use of computer applications including spreadsheet, database, presentation and word processing software.
5. Skill in typing with minimal errors.
6. Ability to learn office and university-specific software.
7. Ability to communicate effectively with skill and tact in both oral and written form.
8. Ability to understand and interpret policies and procedures accurately.
9. Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.
10. Ability to work collaboratively with faculty, staff and students to achieve specific goals and meet deadlines.
11. Ability to deliver positive customer service experiences.
12. Ability to work successfully as a member of a team.
13. Ability to set priorities and complete assignments on time with high attention to detail.
14. Ability to identify problems, evaluate alternatives, and implement effective solutions.

Physical Demands |
Required Education | High school diploma or equivalent is required.
Required Experience and Training | Five years of related experience is required. Experience in general office practices and procedures is required. Customer service experience is required. Experience handling confidential information is required. Candidates who do not meet the experience requirement but have a Bachelor’s degree in a related field may also be considered on a basis set forth by the Department of Human Resources.
Preferred Qualifications | Bachelor’s degree is preferred. Experience in higher education is preferred. Experience in learning management systems such as Brightspace by D2L is preferred.
