The Automation Specialist focusing initially on CFO Organization is a business-facing automation product owner and hands-on workflow specialist responsible for identifying, designing, coordinating, implementing, and continuously improving automation solutions across the CFO organization. The role will partner with Legal, Finance, IT, Information Security, Compliance, and cross-functional stakeholders to reduce manual work, improve cycle times, strengthen process consistency, and create scalable, auditable operating workflows.

The first major initiative for this role will be to support the Legal team in implementing a governed “legal cowork” capability using approved generative AI and enterprise tools, including Microsoft Copilot, DocuSign, and Salesforce. This initiative will focus on improving contract drafting support, intake, contract organization, document workflows, metadata capture, contract status visibility, and CLM-like functionality without implementing a standalone CLM system. Legal will serve as the subject matter expert for legal content, templates, playbooks, and attorney review standards; IT will support tooling, integrations, architecture, and system governance; and the Automation Specialist will coordinate the solution design, workflow buildout, adoption, and business-value tracking.

This role incorporates core automation responsibilities from existing Automation Specialist roles, including process improvement, Power Platform / Microsoft tooling, GenAI integration, reporting, project management, and measurable efficiency outcomes , while incorporating relevant Legal Technology Specialist responsibilities around contract workflows, legal systems, integrations, permissions, metadata, reporting, and audit readiness.

WHAT YOU’LL BE DOING:
CFO-Org Automation Product Ownership
  • Serve as the product owner for automation opportunities across the CFO organization, including Legal, Finance, Accounting, FP&A, Procurement, and related operational workflows. Build and maintain an automation intake process that captures business problem, expected value, urgency, complexity, data sensitivity, systems impacted, stakeholder ownership, and implementation priority. Translate business needs into clear requirements, future-state workflows, success metrics, and delivery plans.

Legal Cowork and Contract Workflow Automation
  • Lead the business-side design and implementation of a Legal cowork solution using Microsoft Copilot, DocuSign, Salesforce, and other approved enterprise tools. Partner with Legal as SME to support contract drafting workflows, template and clause organization, intake routing, contract status tracking, metadata capture, document organization, approval workflows, e-signature readiness, and searchable contract knowledge. Ensure the solution remains attorney-supervised, with clear human-in-the-loop review and escalation standards.

Automation Development and Workflow Configuration
  • Design, configure, test, deploy, and maintain automations using Microsoft 365, Power Automate, Power Apps, Copilot, SharePoint, Excel, Power BI, Salesforce workflow capabilities, DocuSign workflows, APIs, and related enterprise automation tools. Partner with IT on integrations, system architecture, access controls, production deployment standards, and supportability.

Systems Integration and Tooling Coordination
  • Coordinate with IT to connect automation workflows with existing systems such as Salesforce, DocuSign, Microsoft 365, finance systems, procurement tools, and reporting environments. Support requirements definition, configuration review, testing, UAT, issue resolution, and go-live readiness for automation-related system changes. This role should not act as a shadow IT function; it should drive business-side ownership while aligning tooling and integration decisions with IT standards.

Generative AI Enablement and Governance
  • Develop practical GenAI workflows, prompt libraries, reusable templates, output review checklists, and enablement materials using approved AI tools. Maintain appropriate documentation for AI-enabled workflows, including use case purpose, data inputs, user groups, risk considerations, controls, and approval pathways. Escalate high-risk, sensitive, or large-scale personal-data AI use cases through the applicable AI governance process.

Data, Reporting, and Value Measurement
  • Develop reports and dashboards to measure automation outcomes, including hours saved, cycle-time reduction, contract turnaround improvement, error reduction, adoption, backlog reduction, exception rates, and control performance. Use Power BI, Excel, Salesforce reporting, DocuSign reporting, and other available data sources to communicate results to CFO-org and functional leaders.

Project Management and Change Enablement
  • Manage automation initiatives from discovery through launch and post-launch optimization. Develop project plans, stakeholder communications, process maps, documentation, training materials, release notes, office hours, and knowledge-base content. Support adoption by training users on approved automation tools, GenAI practices, workflow standards, and escalation processes.

Continuous Improvement
  • Stay current on automation, Microsoft Copilot, Power Platform, Salesforce, DocuSign, GenAI, and SaaS workflow trends. Identify reusable automation patterns that can scale across the CFO organization and reduce one-off manual workarounds.

YOU’VE GOT WHAT IT TAKES IF YOU HAVE:
  • Strong ability to translate CFO-org business needs into automation requirements, workflow designs, tool configurations, and measurable outcomes.
  • Hands-on experience with Microsoft 365, Power Automate, Power Apps, Copilot, SharePoint, Excel, Power BI, Salesforce, DocuSign, hands-on experience with Application Lifecycle Tools (ALM) and adoption of best practices for testing and deploying solutions from lower level environments to Production, or similar workflow tools.
  • Practical understanding of generative AI use cases, including prompt design, document summarization, draft generation, structured review, and human approval workflows.
  • Ability to coordinate with IT on enterprise applications, integrations, permissions, identity/access considerations, and production support requirements.
  • Working knowledge of contract lifecycle processes, including intake, drafting, approval routing, execution, repository organization, metadata, renewals, and reporting.
  • Strong process-mapping and requirements-gathering skills.
  • Strong analytical skills and ability to quantify automation value.
  • Clear communication skills with the ability to work across Finance, Legal, IT, Security, Compliance, and business teams.
  • Control-oriented mindset, with the ability to design workflows that are documented, auditable, permissioned, and supportable.
  • Ability to operate as a product owner without direct authority over all delivery resources.
  • 4+ years of experience in business process analysis, automation, systems implementation, finance operations, legal operations, business applications, consulting, or related roles.
  • Experience building or configuring workflows using Microsoft Power Platform, Microsoft 365, Salesforce, DocuSign, or comparable SaaS workflow tools.
  • Experience working with cross-functional stakeholders to gather requirements, document processes, test solutions, manage rollout, and measure impact.
  • Experience with reporting, dashboards, KPI tracking, or operational data analysis.
  • Experience supporting automation, AI-enabled workflows, or process improvement in a complex business environment.
  • Bachelor’s degree in Business, Finance, Information Systems, Legal Studies, Computer Science, Data Analytics, or a related field; equivalent relevant experience may be considered (with applicable certifications).
