Business Assistant II or III Full Description

Overview: 
The College of Arts and Sciences is seeking two motivated and detail-oriented individuals to join our team as a Business Assistant II or III. This role is a part of the Business Services team for the college and will focus on personnel services, travel transaction processing, and general department support. These positions are located within the Dean’s Office and will report to the college business manager. 
 
The position requires excellent interpersonal and communication skills, the ability to balance multiple projects and deadlines, and the desire and capacity to work both independently and collaboratively as part of a productive team.
 
Depending on qualifications, experience, and the scope of responsibilities assigned (see Qualifications section for details), successful candidates will be hired at either the Business Assistant II or III level. Individuals hired at the Business Assistant III level will be expected to take on duties of greater scope and complexity.

Responsibilities: 
Personnel:
  • Reviews Electronic Personnel Action Form (EPAF) requests for accuracy and ensures  compliance with policy prior to submission
  • Prepares EPAFs for employees; includes new hires, rehires, terminations, grad assistantships, benefited positions, transfers, short-term disability and extra service compensation
  • Meets with employees in person, by email, Zoom, and phone calls to collect required federal hiring documentation including I-9s, ACA compliance forms, direct deposit information, and W-4 tax forms
  • Answers inquires related to EPAFs, new hire paperwork, job postings, and other employment processes
  • Submits payroll in AggieTime, sending reminders and communicating with supervisors, USU’s Human Resources Office and business team
  • Generates/prepares complex preliminary reports to verify accurate payroll data
  • Monitors and enforces compliance with established university policies and procedures
  • Develops and maintains spreadsheets and databases to track information
  • Attends university training sessions to stay current on policies and procedures
  • Manages and maintains special projects independently as assigned
  • Maintains electronic filing system for documents and historical data
Travel:
  • Processes travel requests through ServiceNow – in accordance with policies and procedures.
  • Provide daily accessibility to travel status
  • Analyze and advises on real or potential travel issues
  • Monitors and enforces compliance with established university policies and procedures
  • Answer inquiries pertaining to travel
  • Run weekly and/or monthly reports to ensure that TAs and TRs are completed in a timely manner
  • Trains and supports new users/travelers
ArtSci Business Services Team:
  • Actively participate in team meetings and trainings at the college and university level
  • Back up other business assistants/managers within the college on various transactions as needed/requested
  • Contributes to solutions when changes are initiated or required
  • Completes Special projects as assigned
 
Qualifications:
Minimum Qualifications II:
  • Four years of related work experience; or an associate degree/technical training plus two years of related work experience; or a bachelor’s degree in a business field is required
  • Dependable with a strong work ethic
  • Friendly and service-oriented attitude with excellent customer service skills
Minimum Qualifications III:
  • Six years of related work experience; or an associate degree/technical plus four years of related work experience; or a bachelor's degree in a business field pulus two years of related work experience is required.

 Preferred Qualifications for II & III:
  • Working knowledge of Banner HR module
  • Experience processing EPAFs in Banner
  • Experience processing Travel in Servicenow
  • Working knowledge of USU’s human resources policies
  • Knowledge of USU travel policies and procedures
 
Knowledge, Skills, and Abilities: 
  • Competent in the use of computer programs including Microsoft Office (i.e., Excel, Outlook, Word) and other applications. Proven ability to create formulas and spreadsheets in Excel.
  • Strong interpersonal, oral, and written communication skills
  • Experienced in managing multiple responsibilities and deadlines. Able to organize work responsibilities and self-assess personal performance against target objectives.
  • Proactive in resolving issues, setting up processes, and providing high-level customer service.
  • Ability to take initiative, maintain confidentiality and work without close supervision.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Knowledge of University policies and procedures.
  • Excellent organizational skills and attention to detail
